Treasurers collect dues. September
1- District Directors
begin scheduling District Meetings with approval of Division President. September
1 -Division Officers and Division Committee Chairmen send
information to the Division Corresponding Secretary for inclusion in the
Chapter Packets to be distributed at Division Convention. After adjournment of Convention - Reports of Division Officers and Division Committee Chairs, finalized after Convention, are due to Yearbook Chairman (preferably by email). After
adjournment of Convention - Division Registrar furnishes August 31
chapter membership numbers to Yearbook Chairman. After
adjournment of Convention - Prize Committee Chairman sends list of
winning essay topics and prizes to Yearbook Chairman. After
adjournment of Convention - Division Historian provides scrapbook,
yearbook, and essay winners to Yearbook Chairman. After
adjournment of Convention - Clubs send minutes to Yearbook Chairman
for inclusion in Yearbook along with $15.00 check payable to Division
Treasurer. After
adjournment of Convention - In Bylaws years, Bylaws Committee sends
approved amendments and/or new Standing Rules to Yearbook Chairman. After
adjournment of Convention
- Person responsible for printing Convention Program furnishes an
electronic copy to Yearbook Chairman. October 30
days after adjournment of Convention - Deadline to submit essay
topics or prizes to the Division Prize Committee Chairman along with
check payable to Division Treasurer.

31 - Prize Committee Chairman sends to the Yearbook Chairman a list
of new essay topics and other prizes with
prize amounts for publication in the Yearbook.

31 - Treasurers of
Chapters, CofC and Clubs e-file
Federal Form 990 required by the IRS and notify Division Treasurer
this has been done. October
31 - Treasurers of
Chapters, CofC and Clubs send to the Division Treasurer the “Annual Financial Report 501(c)3 Form” required by the IRS. November November
1 - Club dues are to be sent to the respective Division Club’s
Treasurer. Application must
accompany new member dues. November
1 - Deadline for ordering Division Yearbook and Minutes. November
15 - Dates finalized
for Winter Board Meeting. December December
1 - Division Officers and Division Committee Chairmen send

10 - Deadline for Chapter Treasurers to send Chapter Treasurers Report form and check
to Division Treasurer. February
15 - Deadline for
proposed amendments to Division Bylaws received by Bylaws Committee
Chairman in odd-numbered years. February
15 - Chapter Second
Vice Presidents must have both General and Division Scholarship
applications with all required information to the Division Second Vice
President. March March
15 - Division Treasurer
notifies each President of a delinquent Chapter that unless per capita
taxes are paid by April 1, delinquent Chapter(s) will be denied
representation at Annual Division Convention March
15 - Quarterly
reimbursement requests due to Division President. Mid
March - Division
Education Scholarship Committee meets. April April
1 - Chapter Treasurers
must pay delinquent Chapter dues to the Division Treasurer for
representation at the Annual Division Convention. Mid-April
- Division Second Vice President sends reminder cards to scholarship
recipients asking for their spring transcripts once semester is
completed if they wish to be considered for re-awards. Late
April - Division Second
Vice President notifies new scholarship recipients of awards. May May
- Chapter election of officers in even numbered years. Chapters send
(preferably by email) a
list of the new Chapter Officers to: Division President, Division
Yearbook Chairman, and District Director. May
15 - Memorandum of
Facts for Military Service Awards approved to be bestowed at the next Annual
Division Convention are due to Division Recorder of Military Service
Awards. May
15 - Chapters send to
Division Historian all student essays, fourth grade coloring contest
winners. May
15 - All applications for Jefferson Davis Historical Gold Medal,
Judah P. Benjamin, Stonewall Jackson, Winnie Davis, Sidney Lanier, and
Pioneer in Space awards for consideration for Historical Evening
presentation must be submitted.
June June
10 - Re-award and new
scholarship awardees spring transcripts due to Division Second Vice
President. June
15 - Quarterly
reimbursement requests due to Division President. June
15 - Member Division essays and General essays must be sent to
Division Historian by the member. Mid
June - Division Treasurer shall notify Presidents of delinquent
Chapters that they no longer have credentials and they shall be denied
representation at the annual Division Convention.
She shall also notify the Division Registrar and Division
Convention Credentials Chairman. July July
15 - Chapter Chaplain sends to Division Chaplain special written
memorials for inclusion in the Yearbook and Minutes with $9.00 check
payable to Alabama Division Treasurer. Sixty
days before the Annual Division Convention - Division Corresponding
Secretary mails Convention Call to the Division Executive Board.
Any proposed amendments to the Bylaws, in odd-numbered years
only, shall be included. July
31 - Division Second
Vice President notifies new and re-award recipients, Chapter Second Vice
Presidents and colleges of recipients and awards for upcoming academic
year. July
31 - Deadline for sending insignia
orders to the Division Vice President to
be counted in current year’s report for awarding of Division prizes. August August
1 - Deadline for submitting news articles, photos, and ads to the
Business Office for the November issue of the UDC Magazine.
August
1 - Chapter
President sends Standard of Excellence Report to the Division Chairman August
1 - Chapter President sends
Chapter Narrative Report (preferably by email) to Division President and to Yearbook
Chairman. August
1 - Chapter President sends
District Questionnaire to
District Director. August

Division Committee narrative reports (preferably by email) due to Yearbook Chairman, unless
report cannot be completed until after Convention. August
31 - Division Chairman of Districts sends her annual report to
Division President for compilation into her report and to the Yearbook
Chairman. August
