Article 1-Name and Office
The name of this organization shall be the Sunflower Genealogy Group (hereafter referred to as the Group).  The principal office of the Group shall be at the Sunflower Village Center.

Article 2 – Purpose
The purpose of the Group is to promote and stimulate knowledge and interest in the study of genealogy: to provide an opportunity for exchange of information among members: provide educational presentations and workshops: assist members in genealogical research. The Group is a not-for-profit organization.

Article 3 - Membership and Fees
1. Membership shall be open to all residents and/or owners of property within the Sunflower Village. (Hereafter referred to as Sunflower)
2.  An annual supplies fee of $10.00 will be required to keep the membership current. The membership year begins January 1st and ends December 31st.  New Members joining after September 1st will pay a fifty percent prorated fee.  Any fee change shall be proposed by the Planning Committee and voted upon by the members.
3. Each member in good standing shall be entitled to participate in all Group functions and vote on all matters that come before the membership, including election of officers and amendments to the By-Laws. A member is in good standing if he or she has paid the current year's fees.

Article 4 - Meetings
1. Meetings of the Group shall be held at 3:30 P.M. on the third Thursday of the month at the Sunflower Village Center or at other times and places as designated by the Group Director.
2.  At general membership meetings, members present shall constitute a quorum and a majority vote will rule on all matters. Any member may request a further review of an accepted ruling by submitting a request in writing or by E-Mail to the Planning Committee.
3. The Planning committee shall meet schedule a minimum of four meetings a year as requested by said Chairperson. Any rulings or proposals adapted at these meetings shall require a quorum of 2/3 Board membership approval.
4. All members and guests are welcome at the general membership meetings.

Article 5 - Officers and Chairpersons
1. The Officers of the Group (Executive Board) shall consist of Director, Assistant Director, Secretary and Treasurer. These are elected positions for a term of one year and limited to three consecutive terms in office for the same position. The term of office shall begin on the January general membership meeting date and expire by the following January general membership meeting date.

2.  The standing Chairperson positions shall consist of Librarian, Webmaster, Historian, and Planning.

Article 6 – Elections
1.  A Nominating Committee shall consist of two members in good standing who are appointed by the Director, with the approval of the Planning Board.
2. The slate of officer candidates shall be presented at the November meeting. Additional nominations shall be accepted from the floor.
3. If there are no nominations from the floor, the Director shall ask the Membership to accept the slate as presented.  In the event there is more than one nominee for any office, voting shall be done by ballot.
4. All voting for Officers shall be initiated and completed at the November meeting.
5. Officers shall be installed at the January meeting of the following Year.
6. If an Officer resigns, an election shall be held to fill the vacancy.

Article 7 – Duties of Officers
Director – presides over general membership meetings; appoints committee Chairpersons; acts as central point of contact for the Group.
Assistant Director – assumes duties of the Director during his/her absence.
Treasurer -- collects membership supplies fees; maintains financial records; disburses funds as needed.
Secretary -- keeps minutes of general membership meetings.

Article 8 – Duties of Chairpersons
Planning Chairperson – presides over Planning Board meetings; direct the board to develop future projects for the betterment of the Group.
Librarian – maintains Group’s books, CDs and materials; maintains and updates the Group’s catalog.
Webmaster – maintains Group’s web page; maintains index of surnames being researched by members: informs members of Group’s activities.
Historian – selects and archives documents generated by the Group

Article 9 -- Committees
1. Planning Board – This committee shall be comprised of members selected for their ability to consider and plan future projects such as meeting presentations, acquiring research materials and analyzing needed books, CDs and software. This board shall be comprised of a minimum of four members in good standing.

Article 10 – Finances
Fees received by the Group shall be used to pay for expenses incurred. The treasurer shall submit a monthly financial statement to the general Membership.

Article 11 – Revisions of By-Laws
These By–Laws may be revised or amended by a request from the majority of the membership.
