Before beginning data entry, please look at the time period covered in the data sheets and sort them by volume number, if necessary. Here are the time periods and the volumes done or planned.

vol. 1: up to 1875
vol. 2: 1876-1880
vol. 3: 1881-1885
vol. 4: 1886-1890
vol. 5: 1891-1899
vol. 6: 1900-1903
vol. 7: 1904-1906
vol. 8: 1907-1909
Volumes 1 through 8 have been completed.

vol. 9: 1910-1912

It is all right to combine different dates within any volume and enter them into a single file, but if the sheets you have contain years which overlap more than one volume, please create two files, one for each volume.

How long should a file be? In general, file length is not terribly important but there are some limits. Files up to 1,000 or so lines, which equal about 25 pages, are ideal. They can be somewhat longer, but files of 1,500 lines can become difficult to handle on import.

We have been having some difficulty with keeping files sorted at the annex. If you pick up or return your work there, please write on the front page that the data has been "ENTERED" and your name and the date. If files that have been "entered" get mixed up with those "to be entered," we end up with duplicate sets of files, which creates extra work for everyone.

Surname--enter as listed on abstract.
Given name--see samples on chart above
Type--each entry must have a period (d.)
Newspaper code--see list
Date--list day, space, month (see above for abbreviation; remember to include period except for May, June and July), space, year
Page and Column--use p. for page, not pg.; list as entered, HOWEVER, if the same newspaper lists other columns on the same page, entries may be combined, e.g., p. 2 col. 6&7, or p. 4 col. 2&4. Do not space between numberals and ampersand.
Comments--start first word of comment with lower case unless it is a proper noun; separate items with a semi-colon (;); capitalize place names; use quotes of titles for articles when given.
