Minutes of the December 7, 2000 Meeting The December business meeting of the Polk County Genealogical Society was held on Thursday December 7, 2000 in the Fellowship Hall of the Bolivar United Methodist Church. President Susan Sparks opened the meeting and the group took a tour of the sanctuary of the church of which Jennie Springer had decorated with poinsiettas for the Christmas season. After returning to the Fellowship Hall refreshments were served. The minutes of the November meeting were passed around for inspection. Susan announced that yearly dues for the organization would be due at the January 2001 meeting to be held on January 4. Treasurer Julie Trout gave her monthly report. Jennie Springer reported on the Will Index. It was decided that Thank You cards should not be sent in email form. Julie gave an update on the burial stone that had been in the Bolivar Police Department storage room. Jennie reported on the grants that had been discussed earlier and will report again in January. She also updated the group on the incorporation papers which have been delayed again, but hopefully will be taken care of by the January meeting. Each time the papers are submitted the state finds something wrong . After the copy machine committee made its report and Jennie had talked with a repairman, it was decided to repair the machine we presently own and delay the purchase of a new copier. Mr. Kirchner stated that he had 43 cemeteries completed for the index. January’s meeting will be a work night for the scrapbook. The program for the February meeting will be old newspaper articles and documents that anyone in the group would like to share. Linda Crawford will try to get someone from SMSU for the March program. Minutes of the July 6, 2000 Meeting The Polk County Genealogical Society met for its regular monthly meeting on July 6, 2000 in the Fellowship Hall of the Bolivar United Methodist Church. The meeting was opened by the president Susan Sparks. She introduced Mrs.Carolyn Castleberry (aka Carolyn Mott) and Mrs. Jeanette Hightower (aka Jennie Springer) who did a short skit on the DAR. Following the skit Carolyn Mott gave an informative program on the DAR, its holdings and buildings. She had books and documents on display. Carolyn is a regent for the Matilda Polk Campbell Chapter of Polk County. She explained how to become a member of the chapter. A question and answer session followed the program. After the program Susan passed the minutes around for those in attendance to read. She spoke about the meeting she had with Polk County Clerk Sue Entlicher concerning the county’s obligation towards keeping up rural and private cemeteries. Only one cemetery in Polk County has been deeded to the county. Susan and Jennie Springer have met with Polk County Library Director Terri Parrish and toured the new library. They decided there was not room for our collection of reference material, comb binder and other miscellaneous items at this time. Susan spoke of a meeting she and Jennie had with Attorney Ashlock about his building to the west of his office being used for our library. Jennie toured the building with the Bolivar City inspector. He gave her a list of needed repairs and the estimated cost of such repairs. There was a long discussion on the pros and cons of this building and other options open to the group. Julie Trout gave the treasurer’s report and it was approved. We have 101 members with 19 present at this meeting. Many of the members are from out of the area. Susan asked for volunteers for the conferences coming up later in the year. Jennie read a list of committee volunteers. Janett Cowden Slagle was there as a new member. She was welcomed to the group. The group was dismissed and several members talked privately with Carolyn Mott and looked at her books. The next meeting is August 3, 2000. Submitted by Linda Crawford, Secretary Minutes of the June 1, 2000 Meeting The Polk County Genealogical Society met for its regular monthly meeting on Thursday June 1, 2000 at the Bolivar United Methodist Church Fellowship Hall. President Susan Sparks opened the meeting and welcomed Carol Poindexter of the Polk County Recorder’s Office. Carol handed out sheets and explained what could be found of a genealogical nature in that office. A "Question and Answer" session followed her presentation. Susan and and Bettyann Reed gave a report on our map project. Susan had checked on DNR maps at the Greene County Archives. Bettyann continues to check sources for maps that can be used. Julie Trout, society Treasurer, gave her report. We now have 101 members. Candice Becker gave a report on the Greenwood Cemetery book. She had added the names, but no dates from the book to a website called Cemetery Junction. The obituary database now has 15,000 names with more being added regularly. Jennie Springer was not able to attend the meeting but she did schedule an "Obit Party" at Candice’s home on June 10. There will be a walk at Pleasant Ridge Cemetery on June 13 to get names and dates for another cemetery book. There was an extended discussion on the care and maintenance of private cemeteries. Our group does not have the funds nor manpower to keep these cemeteries in good condition. Susan led a discussion about Bolivar Country Days and it was decided we would not take part in the celebration this year. We will be having a booth at the Ozarks Genealogical Society Fall Conference in September. Volunteers will be needed to help run the booth. We will be having our own conference on September 16 at the Methodist Church in Bolivar. One query was read and Susan dismissed the meeting with 24 in attendance. Minutes of the May 4, 2000 meeting The Polk County Genealogical Society met for its regular monthly business meeting on May 4, 2000 in the Fellowship Hall of the Bolivar United Methodist Church at 7:00 p.m. The meeting was presided over by president Susan Sparks. Jennie Springer reported on the Greenwood Cemetery Books. She brought samples of Volume I for inspection. The response has been very favorable. It was decided to put the cemetery on the Rootsweb Cemetery list. Bettyann Reed reported on her progress in putting together a book of maps pertaining to Polk County research. She brought several maps to show the group. She will need to make contacts for permission to reprints some maps. Candice Becker made a report on the work day held at her home on April 29. She will be collecting recipes and pictures for the cookbook to be printed. Julie Trout gave the treasurer’s monthly report and membership report. Membership has reached 107. A discussion was held about purchasing a copy machine for the group. Jennie Springer will do some checking and report back at a later date. A book on rural Cedar County Schools was passed around for viewing. The group will purchase the book for our library. Linda Crawford will make a link on the Hickory County GenWeb page to the obituary file on the PCGS page as it contains many Hickory County obituaries. Jack Glendenning presented an interesting program. It was not on any one particular family, but on Polk County history and genealogy in general. The group was dismissed by the president. Minutes of the April 6, 2000 meeting The Polk County Genealogical Society met for its regular monthly business meeting at 7:00 p.m. on April 6, 2000 at the Fellowship Hall of the Bolivar, MO United Methodist Church. The meeting was opened with the program given by Linda Crawford who displayed and talked about some of her original Civil War documents. Other members brought items pertaining to the same time period or had research information on that time period.
Marie also asked for confirmation of dates on some pictures of a man in military uniforms. After the program Julie Trout read the new by-law pertaining to the elected officers. The amendment passed as written. Susan Sparks led a discussion on our local convention to be held in the fall on September 16, 2000 at the United Methodist Church of Bolivar. She asked for volunteers to help with registration, classes and refreshments. The Ozarks Genealogical Society fall conference was also discussed with Linda Crawford agreeing to confirm our table at the conference. Last month’s minutes were passed around for members to read and Julie Trout read the treasurer’s report. A discussion was held on the Greenwood Cemetery Books. Jennie Springer reported the group had purchased the comb binder so as to be able to bind our own books. By the end of the meeting we had reached our goal of selling of 50 sets of these books. Susan asked about making a book of local maps to sell. There was a discussion with members agreeing to see what maps they could find that could be used. Bettyann Reed volunteered to head this project and Marilyn Rogers will help. It was also decided to go ahead with a recipe book and include recipes of our ancestors and their pictures if possible. Candice Becker will be in charge of the pictures. Susan’s mother will oversee the project. There was a discussion on our obituary project. Jennie brought us up to date on that. The next work day will be at Candice’s home on April 29 for anyone who would like to attend. Candice announced she would not be able to give the program for the May meeting and Linda said she would contact Jack Glendenning about providing that program. The meeting was dismissed at 9:00 p.m.with 21 in attendance. Minutes of the March 9, 2000 meeting On March 9, 2000, President Susan Sparks called the meeting to order in the Polk County Library. Minutes from the previous meeting were presented and made available to attendees. Susan presented the following items:
The first action taken was a vote on the change to our meetings. The proposed change of having a business meeting the 1st Thursday of every month at the United Methodist Church in Bolivar and a research meeting the 2nd Thursday of every other month (January/ March/ May/ July/ September/ November) at the Polk County Library in Bolivar, was passed with no objections. A motion passed on changing the membership dues to be prorated for new members. A bylaw change was proposed by Candice Becker and presented by Susan Sparks. This change will provide for filling vacancies of the elected officials during their term of office. According to bylaws this will be voted upon at the next regular meeting of the society. Everyone was given the opportunity to read the proposed change. A discussion of delivery problems of the newsletter culminated in the agreement that the newsletter will be stapled and then taped prior to mailing. Julie Trout requested volunteers to help prepare the newsletter for mailing - date and location of the activity will be set as necessary. Daisy, Terri and Leanna answered the call. Due to the problems with the newsletter not arriving at all members home as expected, the time for members to order the Records of Greenwood Cemetery book will be extended - not time limit was given. Presently there are 92 members according to the Treasurer's report, which gave the balance of the Checking Account for the society at $1303. Julie also presented charts and graphs depicting how the money has been earned and spent over the life of the society. Jennie Springer reported 25 sets of the Records of Greenwood Cemetery book have been presold, which is below our estimation. There will be another Obit Party at Jennie's house on the 23rd of March, starting at 9 a.m. There are about 4000 obits ready for taping. The evening of March 23rd, Susan and Jennie will be making a presentation at the Polk County Historical Society at the Museum at 7:30 pm. All PCGS members were invited to attend. Susan and Jennie will also be going to the Stockton Genealogy Society to discuss our activities. Linda Crawford is maintaining a history scrapbook for the society and would appreciate donations of clippings, items and whatever that would pertain to this. Roy Kirchner Jr. reported he has completed researching 40 cemeteries. Terri asked for help contacting a Virginia Holsey who had asked for research from Hickory County. Julie Trout reported that Family Origins will give a discount to any member who wants to purchase their software during a sale period. The next meeting will be held at the United Methodist Church on April 6th, at 7 p.m. - Linda Crawford will be presenting her Civil War documentation. The minutes and treasurer reports were approved and the meeting was adjourned. Visitors of the meeting were Dolores Dickerson, Teresa Barker and Mr. & Mrs. Gary Gray. Minutes of the February 10, 2000 Meeting The Polk County Genealogical Society met for its regular monthly meeting on February 3 ,2000 in the Fellowship Hall of the Bolivar United Methodist Church. President Susan Sparks presided over the meeting. The 1st order of business was to announce that Bettyann Reed had resigned as treasurer and Susan appointed Julie Trout as temporary treasurer. Next was the program which began with several members giving reports on different computer genealogy programs.
Each participant passed around samples of the specified program. Candice also had her computer so demonstrations could be given on Legacy, Family Tree Maker and PAF 4. There was then a Question and Answer session. The president read a letter from the Dade County Genealogical Society asking for an article about our group to be included in an issue of their newsletter Diggin’ in Dade. The letter stated that we could include our publications for sale in the article. Susan asked for a volunteer and Linda Crawford volunteered to send an article to their group. Susan also read a letter from an organization in St Joseph, MO who would like to receive information about our organization to include in a book they will be printing. No one volunteered for that project at this meeting. Susan also talked about receiving a phone call from Della Bailey who has been doing research in Polk County. Susan passed around a new book she herself had donated to the group about Kansas City, MO. A discussion was held about moving the regular business meetings of the group to the 1st Thursday of each month and to be held at the Methodist Church. This cannot be acted on until the next monthly meeting according to our bylaws. The 2nd Thursday night of each month or possibly only every other month would be used for research at the library. This would be for personal research or for experienced researchers to help those new to genealogy. There would be no business meeting on these nights. Jennie Springer reported on book sales. The Greenwood Cemetery Book is about ready to be printed. The Ozarks Genealogical Society ordered a copy of each of our books. They will be placed in their library in Springfield. It was requested a Thank You be sent to that organization for donating newspaper books from 1889 and 1899 to our genealogy library. Several new members and visitors were in attendance. The new Polk County Library director, Terri Parrish, also attended the meeting. The next meeting will be March 9, 2000 at 7:00 at the Polk County Library.
