The December meeting of the Polk County Genealogical Society met December 12, 2002. Our regular meeting date December 5, 2002 was postponed because of snow. The meeting was opened by President Jennie Springer. Teresa Barker read the minutes for the November meeting filling in for Linda Crawford, Secretary. The minutes were approved. Vice President James Whitman ask the group about members working in the library. He was asking for people to sign up. Evelyn Graham gave the library report: $17,271.13 in account. There was $10,000.00 put in CDs; $5,000.00 in savings; $1,000.00 for Julie to deposit; $278.50 for book and advertisement and $50.00 to Michael Jones. Leaving $942.63 in account. Susan ask when the CDs were approved. Jennie said that it had been approved in December or January of this last year. That this must be kept separate; we can't mix our building fund and our regular account. The report was approved. Jennie gave a gift to Michael for all of his help. Julie Trout, Treasurer, gave her report. There was $101.31 in checking account, $50.09 in petty cash for a total of $151.40. There was $1,146.00 ready to deposit. Julie also said that our membership is 142 . The report was approved. Jennie said that the retired Teachers would like to tour PCGS in April to have their meeting. There are 15 members. There was a discusson that this would be nice. Bunny Jones gave a report on how the book was coming along. She thought that there were 700 stories turned in. She said that there is about $36,000 in the Book account. Dean Polly gave a map of single schools in Polk County. There are 114 schools on the map, Bunny reported. Bunny also reported that the members that work on obits took a field trip to Springfield to the Library. Jennie said that 200 books were donated to the library from a lady that was moving and she asked if we would like to have them. They have been picked up and are being filed to put on the shelf. Also Bob Phillps brought books and 2 very large scrap books. Candice Becker has worked on some rules for using the building. Copies of the rules were given to everyone and a discussion about this and our insurance to cover this was discussed. No vote was taken. Jennie turned over papers of the meeting to Susan to help her with the coming year. Michael Jones said, Thank-you for the gift from PCGS. There was 24 in attendance. Genealogical Society met for its regular monthly meeting
on Thursday, November 7, 2002. The meeting was opened by
President Jennie Springer. The Polk County Genealogical Society met for its regular monthly business meeting on Thursday, Oct. 3, 2002 at the PCGS Library. The meeting was opened by President Jennie Springer. Vice President James Whitman reported on the replacement of the sidewalk on the east side of the building. It was to have been done in July. It should be done in the next few weeks. Secretary Linda Crawford read the minutes for the Sept. meeting. They were approved as read. Treasurer Julie Trout read the treasurer’s report. There was $512.09 in the account and $53.59 in petty cash making a total of $565.48. Sept. income was $1166.84. $766 of that was in sales. $274.75 goes back to people who publish their own books, but are sold by PCGS. Expenses for Sept. were $1041.16. Rootsweb does not take donations anymore for the websites so $88 will come back and go into the checking account. The report was approved. Jennie reported on the cemetery projects. Mr. Kirchner also reported on his county wide cemetery book with 1152 pages and 38,268 names in the index. He hopes to have it ready in 60 days. Susan Sparks spoke on the OGS Conference and thanked those who helped at the PCGS table. We sold $279 of books. Leanna Wilson and Trudi Snow made flyers for the School Days booth. It was a hot day and it was suggested we move the booth to our own property. $333 was taken in that day. Jennie gave Evelyn’s report. $22,000 in that account. It would take $2000 to do the sign, awning and sidewalk. Leanna reported on her cutting and pasting for the history books. Lorraine Kincaid talked about the Christmas Party and what we would need to do for that. Joyce Burkhart said there was no unusual mail. She takes mail to the executive board meetings. Julie stated we had 136 members. She was holding off mailing the current newsletter until the nominations were made at the current meeting so she could include those names in the letter. She is working on a new membership list. Bunny Jones, obituary chairman, reported a number of people had been going to the obit workdays. There would be another on the following Tuesday, Oct. 8 from 10 a.m.-2 p.m. She also reported there would be a new brochure out on the family history book before the last deadline. She also stated that the Local Life newspaper was putting a genealogy column in the paper each month and anyone was welcome to contribute an article for it by contacting Bunny. Joyce and Bunny gave a book on airports to the library and told about the free county maps from the MO State Highway Dept. Joyce also stated that Brad Wommack of Wommack Monument donated graphite paper for tombstone rubbing to the society. Annie Keith has been organizing the printing of books. Linda reported on the field trip to the library at SMSU for the next week. Candice updated the book list and prices. Jennie said that most books are now tagged that Mike and Bunny had brought which had been donated by Sue Pitts of Springfield. Reva and Jennie have been putting family histories in sleeves and then into notebooks. They copy the first page and tag to go into a book to be used as an index. Then they are entered into the computer. There are about 75-100 books not on the shelf yet. Marie Clayton, research chairman, said Mary Beauchamp had been helping her with looking up obits. They look through three papers. She turned in $87 to Julie. Jennie reported the bylaws were on the counter to be read if anyone was interested. The insurance on the building and contents was discussed. Candice Becker and Mike Jones who are the committee reported the policy was due the last of October. It was suggested they meet with the executive board. Motion made and seconded. A discussion on the type of font for the sign was held. Jennie reported on the copy machine. The Sharp machine was repairable. It is the machine out front. The Xerox machine is on its last leg and no parts are available for it. It is used to copy obits. KOPI has quoted prices for purchasing and leasing machines from them. Pamphlets were passed around for the members to look at. The nominating committee presented their choice for nominations. They were–President-James Whitman, VP-Linda Crawford, Secretary-Teresa Barker, Treasurer-Julie Trout. The position of Library Treasurer was discussed, but as that position will soon be done away with no action was taken there. The advisory board of Lou Kemp, Candice Becker and Neva Charlene Gardner can not pick their nominees until after the PCGS officers are elected. It was decided to have sign No. 2 with the block letters. Other nominations were made along with those of the nominating committee. They were Jennie and Susan for president. Bunny for secretary. The Polk County Genealogical Society met for its regular monthly meeting on Sept. 5, 2002 at the PCGS Library. The meeting was opened by President Jennie Springer. The first order of business was the voting on the bylaws. James Whitman, Vice President, passed out the ballots at the beginning of the meeting so members could be casting their votes during the meeting. Secretary Linda Crawford read the minutes of the previous meeting. They were corrected and approved. She thanked Bunny Jones for taking the August minutes for her. Evelyn Graham was in Oklahoma so her building fund report was not read. Lou Kemp stated we had sold two tables and 12 chairs. Bud Springer presented information on the awning for the east door and for the sign to go at the front of the building. A wooden sign, with metal posts in concrete measuring 21x43 was to cost $475 and the awning with printing on it would be $387.50. It was decided for members to write in their vote for the color and shape of the sign on the back of the bylaws ballot. Lou reported on the building fund which had not changed. The Community Connections Fair was discussed. It will be held on October 5 at the Bolivar High School. A motion was made, seconded and passed for the group to have a booth at the fair. Susan Sparks spoke about the conference to be held in the spring and also the school reunion. She also stated she had a sign-up sheet for anyone who would be willing to work at the PCGS Booth at the OGS Conference in Springfield on September 21. Candice Becker stated she would gladly give the job of computer equipment manager to Chuck Preston who is a new member of the group. He was welcomed to the group. Jennie asked if there was any questions about the bylaws that that needed to be answered. We discussed the need for a handbook which would outline the responsibilities of each officer, chairman and committee member. The ballots were gathered up. Joyce Burkhart and Bunny Jones were designated to count the ballots. Lorraine Kincaid asked when she would next need to plan for refreshments. Teresa Barker was to take balloons to the library to be used with the other decorations on the day of the school reunion. Treasurer Julie Trout gave her report. She reported $570.60 in the checking account and $46.74 in petty cash. There was a total of $617.34. We have 126 members. We had sold $394.50 in books. She asked that a record be kept of copies made, make receipts for books sold and use the log for long distance calls. She hoped to have the newsletter ready by the end of September and needed submissions for the newsletter. She would like to add new members with their dates and research lines. An announcement was made that Checita Hoke of Lebanon would be coming on the following Thursday night September 12, to speak about her cemetery project. Candice Becker and Mike Jones reported on their committee meeting to work out a resolution about the renting and use of the building by other groups. They wanted some input from other members. Mark Sparks spoke on guidelines for these situations. A motion was made, seconded and passed for Candice and Mike to make a policy for the use of the building. Candice was also going to check on the insurance on the building at the present time and what revisions we needed since moving into the building. Marie Clayton stated she had turned in $100 in research money. Linda reported on the trip to the Special Collections section of the Meyer Library at SMSU. The trip was scheduled for Thursday, October 10 and the time was set for 7 p.m. when David Richards would meet with us. Bunny Jones announced there would be an obituary work day on Tuesday, September 10 from 10 a.m. to 2 p.m. in the PCGS Library. She also announced Sue Pitts from Springfield had donated 100 books to the society. They are research books from places other than Polk County. The results of the bylaws vote was read with all issues passing. The oval sign was chosen with green as the color. Bunny updated the group on how the new history book was doing. Bob Phillips told that the last Polk County History to be printed was in 1889. Joyce Burkhart thanked Linda for being on TV to promote the new book. Jennie said that Microcore had given a year’s free service and they needed a “Thank You” sent to them. A report was made on the state of the grants and the auditing of the books. The books were well kept and there were no problems with them. Tiffany Coleman-Dunn has written a grant, signed and mailed it. It is for $3500 to Debbie Shields and Tiffany’s labor, money for group volunteer research. The following announcements were made: There will be another “play day” on September 18 from 9:00-5:00. The October meeting will be the time for the nominating committee to present the slate of nominees to be voted on in November. Mike Jones asked about more programs and Jack Crawford asked about the status of the shutters. Jennie reported they are being painted. Each person in attendance told who they were. The Polk County Genealogical Society met for its regular monthly meeting on Thursday, August 1, 2002. The meeting was opened by Jennie Springer, President. The first report was made by Vice President James Whitman. The sidewalks were to be done by July 4, but were not finished yet. In the absence of the secretary Bunny Jones read the minutes of the previous meeting in June. The minutes were approved. Evelyn Graham gave the library account. There were expenditures of $3,945.86 in June which included purchase of tables and chairs. There was $801.52 in donations. This left a balance of $20,157. In July there was expenses of $343.72, donations of $334.10, $115 for microfilm, $200 for chairs and tables leaving a July balance of $20,147.49. Lou, Evelyn and Jennie met with Tiffany Coleman Dunn of the Bolivar City Development office. She is applying for a grant to cover the costs of Debbie Shields. She will apply for a grant for $10,000. Debbie’s cost will be $3,000. Tiffany wants to write a blanket grant for the city. There are no declared historical buildings in the county. A mention was made of the notebook to sign up for the cemetery projects. Bunny announced September 7 was the school reunion on the Bolivar square. PCGS will have a booth in front of the gazebo. Any volunteers can call Susan to sign up for work. Jennie said there was $400 worth of books sold last year. Julie Trout, Treasurer, gave her report. The checking account had a balance of $1040.97 and petty case was $59.53 making a total of $1100.50. Jennie asked for the expenditures to be itemized. They were AC freon, fire extinguisher, copies and book reimbursement. The was 13 new members with a total of 118. Two members from the open houses, five from the book workshop and six others. Candice Becker showed the book of forms for publications that is kept under the desk. Leanna Wilson presented the books bought with funds from the Flemington and Cliquot books. They were purchased from the Historical Society. She is cutting out articles pertaining to the PCGS. The Douglas County books have been logged and shelved. Lorraine Kincaid was complimented for work with refreshments at the open houses. The dedication ceremony is set for October or November whenever Bill Matthews can come. Teresa Barker was thanked for decorations for the July 4 open house. Joyce reported on 14 pieces of mail in June and 22 in July. Julie passed out the newsletters and the announced the deadline for the next is September 18. Bunny announced the obit work days will be posted on the calendar on the desk. August 13 & 20 for 10:00-2:00 were announced. It is planned on having them on the 2nd and 4th Tuesdays beginning in September. Chiquita Hoke of Lebanon will have the program for the September Research Night at the PCGS Library. This will be September 12. There will be a publications meeting on Friday the 2nd. There will be a publishing committee meeting on the 3rd Saturday at 3:00p.m. Miscellaneous reports were: Marie with $255.65 for research, Candice has updated the obituaries, Bunny reported on the history book. It was suggested to have the library open on Monday 3-7, Friday 9-5 and Saturday 9-5. For holidays there should be someone on call. It was suggested there was a need for a phone with an answering service. Linda is checking into the field trip at the SMSU Meyer Library Special Collections room. DAR want to have a workshop in the library to learn about filling out their papers. Candice Becker and Mike Jones will work on rules for outside usage of the library. Suggested was 1-4 hours-$10, 4-8 hours- $15, 8-12 hours- $25. Julie presented the bylaws revisions, standing rules and board of directors rules. The meeting ended with introductions of each person in attendance. There was 33 in attendance. Submitted by Bunny Jones in absence of Secretary Linda Crawford Attendance list The Polk County Genealogical Society met for its monthly business meeting on Thursday, June 6, 2002 in the society library. The meeting was called to order by President Jennie Springer. She welcomed the visitors. Each person in attendance introduced themselves and told of their Polk County connections. Jennie passed around a “Like and Dislike” list to be filled in by members. The list included a choice of tables and chairs; sidewalk repairs, computer locations; members mailboxes and categories for filing reference materials. Dolores Dickerson reported for her daughter Teresa Barker on the decorations for the July 4 open house. There would be red, white and blue balloons and flower pots. Secretary Linda Crawford read the minutes of the May meeting. Those were approved. Treasurer Julie Trout gave her report. She reported a balance of $1,419.67 in the checking account and $50.63 in petty cash for a total of $1,470.30. $60 was contributed to the purchase of Douglas County, MO books with Leanna Wilson contributing the shipping costs. There was 98 members as of the meeting date. 18 members had not renewed their membership. There was a total of $309.50 in book sales, $55 in membership and $240.68 in research. Julie asked who was to pay the water bill and who would keep track of long distance calls. Leanna reported the Douglas County and Ozark County books were ready to be shipped. Jennie reported $449 had been taken it at the yardsale. Evelyn Graham reported the bill for the carpet had been paid as well as the curtains and the rods leaving a balance in that account at $23,301.15. Charles Gass is about through with this work except for the back splashes. Lou Kemp updated the group on the consultant, Debbie Sheals. She gave details of Debbie’s past work. She will need articles about the building for her file in working for grants. Marilyn Rogers donated a printer to the library. Jennie told of a signup list for anyone working on cemeteries, etc. so there would not be any duplications. Susan and Leanna donated Polk County Marriage Books A, B, C-D, E-F, G-H, I-J, K-L 1835 to about 1915. Joyce Burkhart gave her report on mail received. Julie stated she needed anything that was to be printed in the newsletter by the middle of July so she could mail them by the 1st of August. Candice Becker said there was nothing new to report on the publications. Marie Clayton has 100 obitutaries that need looking and asked for help on that. She can also use help at the courthouse and library. June 19 was set as the date the Girl Scouts would be at the library. This would be 4-5 p.m. There would be group tours on June 24, 26, and 28. The main open house would be on July 4 from 10 a.m.-1 p.m. It was announced there would be no business meeting in July due to the open house and the 4th of July holiday. Julie read a rough draft on changes to be made in connection with the board of directors. James Whitman and Charles Gass counted votes from the list passed out earlier in the evening. Neva Charlene Gardner was going to check on a file cabinet with a safe in it. A decision was made to give keys to the library to each officer and committee chairmen. Submitted by Linda Crawford, PCGS Secretary The Polk County Genealogical Society met for its regular monthly business meeting on Thursday, May 2 at the society library on the Bolivar public square. The meeting was opened at 7 p.m. by President Jennie Springer. She announced the lower floor of the library would be finished by June. Help would be needed to move books, dust and catalog books. Doug Sikes, representative of Turner Publications, spoke about the county family history book that is being published. He named other county books his company has published. He explained the process used in preparing the book for final printing. He answered questions from the group. Bunny Jones, book chairman, passed out brochures on the book. Secretary Linda Crawford read the April report. It was approved as read. Treasurer Julie Trout read her report. As of May 5, 2002 there was $1,410.41 in the checking account and $50.63 in petty cash with a total of $1,461.04. The membership total is 113 with 18 still needing to renew membership. The report was approved. Library treasurer Evelyn Graham gave her report. There was a balance of $25,347.06. Lou Kemp’s sons donated $1,000 with $750 being spent. Bud Springer reported the carpet was now in for the stage. Charles Gass has finished the wood work on the posts and the other wood projects. Lou Kemp spoke to the group about the National Historical Society in reference to applying for and receiving grants for the PCGS. She had talked with Warren Davis about historic buildings as he has been through the process. She told what we would have to do for the historic preservation of the building. A consultant would would do the work for $300 as a retaining fee. There was $250 remaining from the $1000 Lou’s sons had donated. A motion was made and seconded for the PCGS to give the remaining $50. Motion was passed. Susan Sparks stated that her Salem book was ready to be printed and sold. Candice Becker reported that we had two computers set up and ready to be used and that we could sell the two microfilm cameras if we can find a buyer. Jennie said that Leanna Wilson had found some genealogical resource books on Douglas County on the Ebay website. They had not sold and she had corresponded privately with the owner. He wanted $100 for 20 books. Also there was $50 for Ozark County books. A motion was made, seconded and passed to have Leanna purchase them for PCGS. Several members donated money to help with the purchase. Julie reminded those present of the deadline of May 18 for the June newsletter. There has been a good response to the profiles. Bunny said she needs funeral folders and obituaries for her committee to work on. Publications chairman, Candice, said there was no April meeting, but there would be one on the third Saturday in May. Marie Clayton, research chairman, had received $185 for the last two weeks research. She can always use help with the research. Research night will be on Thursday, May 9 at 7:00 at the Polk County Public Library. Lou reported about the ownership of the building should the PCGS dissolve. The foundation could not keep the building, but would give it to someone in the county. The board would see it stayed in the county. Jennie stated we needed a new board of directors that were not directly involved with the society. There was discussion on the subject. Julie and Lou will be working on the new bylaws to be voted on and on board members. They will report at a later meeting. A sign for the front of the library was discussed. A lighted sign would be about $24 and an electric would be $30. The window treatments were discussed. Dolores Dickerson said she would pay if the society voted for the locally painted shutters. Attendance The Polk County Genealogical Society met for its regular monthly business on Thursday, April 4, 2002 in the Fellowship Hall of the Bolivar United Methodist Church. Vice President James Whitman opened the meeting as the President Jennie Springer had not yet arrived. Secretary Linda Crawford read the minutes of the March meeting. The minutes were approved. James spoke of getting a grant for the upstairs lighting. The downstairs lighting had all been completed. Jennie arrived and continued with the business. She introduced Margaret Vest who is president of the Polk County Historical Society. Margaret was the guest speaker for the night. She told the history of the museum and the property it is located on. Questions were asked after the presentation. Mark and Susan Sparks had their scanner at the meeting to scan pictures for the recipe book to be published in the future when enough recipes have been collected. Treasurer Julie Trout gave her monthly report. The checking account balance was $1463.17. The petty cash balance was $50.63 for a total of $1513.80. We had 114 members as of March 7, 2002. 82 members renewed and 32 need to renew. Jennie reported the extra shelves had been sold. We didn’t make any profit after paying for hauling of the shelves. Charles Gass reported he had installed the cabinet tops. He stated the bathroom doors are four inches too tall. Library treasurer Evelyn Graham gave her report. After spending $677.87 on the phone bill and other miscellaneous bills there was $26,611.86 in that account. A refrigerator was donated by an anonymous donor. A garbage disposal was all donated to the group. The carpet has not yet been installed. Mildred Close had made a list of items that could be used for the library shower at the May meeting on May 2. A list was given to each of those in attendance. A Thank You card from Lou Kemp was passed around the group. It was for the plant the PCGS gave at the time of the death of Lou’s father. His obituary was presented at the same time. Jennie spoke on the Molder book by Neva Charlene and about the work on the Humansville Cemetery project. Convention chairman Susan Sparks updated the information on the Spring 2003 Genealogical Convention. She has reserved three rooms at CMH for this event. There will be a small vendor room. Lunch can be bought at the hospital as long as the cafeteria is notified in advance. Candice Becker was not there so Jennie reported for her. ANPAC had donated two tables, three desks and two microfilm cameras and they had been picked up in Springfield. Heritage Quest magazine donated a complete year of its publication to the library. Joyce Burkhart, mail clerk, distributed the mail she had picked up at the post office box. Julie asked if everyone had received their last newsletter. Also if anyone had anything to add to the next volume to be sure and get it to her. Obituary Chairman Bunny Jones stated the last obit work day had been cancelled and another date had not been sent for April or May. There probably will not be another work day until one can be held in the library. She had heard from a woman in New Mexico who would be donating her family history to the library. Research chairman, Marie Clayton, asked for help with the research. Jennie hopes to have Lynn Morrow of Jefferson City for the program in June. Julie said the next publications meeting was set for April 20. It was time for a vote on the new bylaw amendments. A motion was made to vote on them as one. There was 10 votes for and 7 against. It needed a 2/3 majority so it did not pass. A motion was made to vote on each separately. Number one-10 for and 8 against. It did not pass. Number two-16 for and 4 against. This one passed. Number three-9 for and 10 against. This one failed. Jennie passed around a paper on window treatments. The members were to mark what they liked or disliked. A discussion was held on the issue. Attendance record The Polk County Genealogical Society met for its regular monthly business meeting on March 7, 2002 in the Fellowship Hall of the Bolivar United Methodist Church. President Jennie Springer opened the meeting by asking if we had any visitors or new members in attendance. Becky Bledsoe is a member and was there for the first time. Vice President James Whitman gave a report on the lighting for the library. He said the wiring was completed for the downstairs and he mentioned installing a light on the east side of the building at the entrance. Secretary Linda Crawford read the February minutes and asked for a correction or addition on flyers the girl scouts would be distributing. The minutes were approved as read. Treasurer Julie Trout gave her monthly report. She stated that Ancestry and Rootweb will refund a check for the amount we sent them. PCGS sends a percentage to Rootsweb for the use of the webpage. It is determined by the amount of profit the group makes from research that comes from use of the website. We have 114 members as we gained two and lost two. The checking account balance was $1463.17 and petty cash was $50.63. The electric bill was $213 and the trash bill was $160. Evelyn Graham, library treasurer, reported that the February balance was $27,339.73 after the bills were paid which included the purchase of two doors from Stan’s Drug store that had been in the old bank building there. Bob Springer stated there were two phone lines in the library. One was for the regular phone line and the other for computers. He stated that Charles Gass had been working on the cabinets for the library and the Girl Scouts had started their project. 28 book shelves had been donated by Aardvark Video of Clinton. Jennie said that one wall of the library building had a problem that needed to be taken care of. She asked for a hand for Charles Gass at the library. Julie said the correct phone number for the library was 777-2820 not 327-PCGS as was first thought. That number was a cell phone number which had been given to the society in error. Lou Kemp said she thought the interest earned on library money should go to the society treasury to help with the bills. There was a discussion on how to handle the size of the doors for the bathroom. Mildred was still ill and was not in attendance. She had sent word she was concerned about the supplies for the shower for the library which would be coming up soon. Jennie reported on the cemetery books. Susan Sparks gave a report on the convention which would be held in April 2003. She could not set an exact date with CMH until the first of April. Food can be purchased at the hospital cafeteria. Forms were passed around for members to fill in what they would like to have in the way of programs for the convention. It was reported that one person will be there to give computer assistance programs. A vintage clothing show and program is also scheduled. Susan stated she was working on other presentations. Susan stated that Mark was ill and could not be there to finish the scanning of recipes and photos for the recipe book. He will attend the next meeting. It was decided to include information about the pictures and recipes in the newspaper article announcing the next monthly meeting in hopes other people would donate their pictures and recipes for the book. Jennie said Reta Dyson was ready to start work on the "User Friendly Library" so workers will understand how the library is to work. Teresa Barker volunteered to do a Fourth of July display for the grand opening of our genealogy library which is set for the Independence Day weekend. Joyce Burkhart, mail clerk, opened 33 pieces of mail for this month. Julie asked for birth and anniversary dates for the April newsletter. She also asked for any sympathy messages that she should include in the letter. Bunny Jones, obituary committee chairman, reported the obit meeting was cancelled until further notice. Lorraine was not able to attend so Jennie reminded the group about the OGS bus trip to Kansas City on April 29 & 30. She also said the April program would be given by Margaret Vest of the Polk County Historical Society. Candice Becker said the new publication standards would be included in the upcoming newsletter. Jennie said Marie was ill, but was still doing a lot of research. In old business the bylaws were discussed. They are to be voted on at the April meeting. They will be voted on as a whole and not by separate amendments. The Girl Scout project of the tree in the library was discussed. The woodcarver has not been there yet to do that part. Linda said she would check on awards for those who gave donations. Candice asked for pictures for a collage for the library. Lou told about the brochure the Girl Scouts were making and suggested that eating establishments, antique stores, etc. be included in the information. Linda told of boxes of pictures that were to be in an estate sale in Bolivar on Friday and Saturday. Bunny had talked to Walmart about a donation for the group. They gave a $25 gift card. She also told about the upcoming Polk County History book. She will be the committee chairman and has asked Linda Crawford to help her with the start of the project. It was mentioned that we might be able to have our name brought up in the Local Life Newspaper. Linda is to check about the group going to the Special Collections section of the Meyer Library at SMSU. It was decided to go ahead with the research night on March 14 at the public library. We also decided that we needed to let the public know that we would like to have their old pictures or papers that they were no longer interested in keeping. The Polk County Genealogical Society met for its regular monthy business meeting on February 7, 2002 in the Fellowship Hall of the Bolivar United Methodist Church at 7 p.m. The meeting was opened by President Jennie Springer. The minutes were passed around for the group to read. Vice-President James Whitman spoke about the wiring on the library building and stated that the building was about ready for the monthly meetings. Treasurer Julie Trout gave her report. She stated there was 114 members at that time. It was decided that the secretary would include the figures from the treasurer’s report in the minutes. Evelyn Graham, library treasurer, reported $35,342.03 in that account. Visitors and new members were welcomed. Patty Warren, a newer member, was in attendance as was Gloria Doty who had not been present for a while because of illness. Julie announced that the phone number for the library was 327-7247. Bud Springer reported on the current status of the repairs to the building and the phone line. Lou Kemp was not in attendance so Jennie passed Lou’s report around the table for the group to see. Susan Sparks reported on the status of the calendars and the future genealogy conference. A motion was made and seconded to hold the conference in Spring 2003. It will be held at Citizen’s Memorial Hospital in the conference rooms. A tour of the PCGS Library will be held if there is any interest. Candice Becker was sick so Jennie reported for her. Historian Leanna Wilson told of the cutting and pasting she had been doing on the articles for the history notebooks. Evelyn stated the library had been given 73 books since Christmas. Mail clerk, Joyce Burkhart, gave her report on mail received. There was 32 pieces of mail. Julie passed around a list of members with their addresses, phone numbers and email addresses. She asked for birth and marriage dates to include in the newsletter. The year was not necessary. Bunny Jones, obituary chairman, reported on the last obituary work day. There was eight in attendance. 1800 obituaries were wrapped. Bunny prepared luncheon for those in attendance. The next meeting is set for Mar. 8 at Lorraine Kincaid’s home. Lorraine told that the OGS Bus trip to Kansas City would be April 29 and 30. Jennie reported mistakes on flyers and the dates were corrected. She told about laws for printing school records. These can be printed if the student is out of school. She also reported on the PCGS publishing standards and stated that Candice had them at her home. She will bring them to the next meeting. Several members asked questions about the standards such as obituaries, margins and pictures that can be included and yet approved by the committee. This will include books not published by the PCGS. Marie Clayton said that not much research had been done the past few weeks. It was a slow time for research. Jennie stated the webpage was back up and working fine. She talked about the Girl Scout project at the PCGS Library. They will be putting leaves with donor’s names on the tree as part of their award’s project. There was discussion on the bylaws and a meeting was setup to rewrite the bylaws. Jennie will set the date for that meeting. It will be Tuesday, February 12 at the public library at 7 p.m. Bunny Jones asked to have another vote on whether to have the secretary pass the minutes around the group or to have them read. A motion was made and seconded to have the minutes read. The motion passed so at future meetings the secretary will read the minutes before the group. There will be a worknight at the PCGS Library on Thursday, Feb. 21. The group was also asked to think of a name for the library. Laura Hoffer presented the program on records from the Greenlawn-Pitts Funeral Home. She explained how the records were kept and members were able to look at the records that she brought with her. The Polk County Genealogical Society met for its regular monthly business meeting on Thursday, January 3, 2002 in the Fellowship Hall of the Bolivar United Methodist Church. The meeting was opened by the President Jennie Springer. Linda Crawford presented Susan Sparks with a plaque for her service the past four years as president of the society. The minutes of the previous meeting were passed around and the group voted to continue passing the minutes around instead of having them read by the secretary. James Whitman gave a report on the wiring of the library. He told of the need for a new breaker box. Treasurer Julie Trout gave the monthly report for that office. It was voted that she would read the report at each meeting instead of passing the report around for each member to read. She reported the society has 111 members as of the January meeting. It is time for members to pay their yearly dues. Lou Kemp passed around pictures she had taken of the library work in progression. She also gave a report on the need for a new carpet. It was believed the old carpet would be usable, but it must be replaced according to city code. Bud Springer gave his report on the building and grounds. Evelyn Graham reported on the building fund. Linda Crawford passed around pictures of the signing of the check on October 30, 2001 for the acquisition of the library building. These pictures were taken by Joyce Burkhart. They will be placed in an album by historian Leanna Wilson. Candice Becker gave a report on the shelving gave to the society by Linn College. The shelving had been in a Barnes & Noble bookstore in Springfield previously. A thank you card is to be sent to the college. Evelyn gave a report on the library itself. Joyce opened the mail and passed it on the the appropriate officer. Julie talked about the newsletter and what she would like to include in the next edition. Lou stated that surveyor John R.M Nelson gave us back the check for $200 that was charged to survey the property. A thank you card is to be sent to him. It was to be from 10 a.m.-2 p.m. She also stated her father-in-law had given the society 56 boxes and 42 notebooks. A thank you card is to be sent to him. Candice led a discussion on the publishing standards of the society. She presented copies of the new bylaws to be voted on at the next meeting unless there is more discussion. She also reported the PCGS Webpage was down at the present time because of problems with spammers using email addresses posted on the page. Lou answered questions on the insurance for the building. A concern was raised about the contents. This cannot be insured until we are actually in the building. Jennie asked about naming the library. That will be tabled until February. She said the group would meet at the library for a work night instead of at the public library for research. This is for January 10, 2002 at 7:00. Susan reported on the calendars that are now for sale by the society. They are $7.50 and contain 16 months with pictures. Bunny reported on some genealogical magazines in print. The secretary has written to see if they will give us free complimentary subscriptions. Leanna Wilson announced she has several Shannon County, MO records and she will be glad to do lookups from these resources.
