The February Meeting of the Polk County Genealogical Society met for its regular monthly meeting on Thursday, February 6, 2003 at 7:00 p.m. The meeting was opened by President Susan Sparks. President Susan Sparks asked that we discuss our policy on having a meeting when there are bad weather conditions. The policy is no school, no meeting. School was not called off but weather was bad for our meeting tonight and we have some concerns about this. Teresa Barker, Secretary, read the minutes for the January Meeting. There was a correction about the Internet to be changed to read e-mail. There were no other objections, so they were approved. Julie Trout, Treasurer, gave that report. There was $1,114.26 in checking, $58.72 in petty cash for a total of $1,172.98. Membership is 153 members, on list of those, 54 still need to renew. Julie also gave the other library account report: nothing taken in and nothing spent, balance with interest is $949.71. Bunny Jones, Librarian, submitted the Library Guidelines rules to be posted in the library. The rules were discussed, voted and approved. Julie Trout submitted the report for the Publishing Committee. The book contracts have been revised. If you have a book for publication or an idea for a book, please sign up again. Rena Smith asked if anyone is interested in helping with obits they are welcome to come and help. James Whitman asked if you come in to work, sign the calendar. He also has the hours that everyone worked in the Library, if you would like to check. Announcements . . . Training Days for Members are February 10th from 3-5 and February 11th from 10-12 noon. For Members who plan to volunteer to help work in the Library. We are needing a Hospitality Chairman. Polk County History Book is going to have about 700 family stories and we have sold about 600 books so far. If you haven't purchased your book you need to do so soon in order to get the pre-sale price of $53.50 plus $6.00 shipping. Jennie Springer announced there is to be a DAR training February 27, 2003 from 10:00 to 4:00. Lou Kemp reported she still needs to contact Debbie Sheals before she can report. Delarue Grant has been approved by Polk County Commissioners to remodel the second floor of the building. We are excited and hope to hear from them soon. Susan Sparks turned over the meeting to Speaker Judy Kallenbach, Editor and General Manager of the Bolivar Herald Free Press. She gave a history of the different papers in Bolivar and the owners. She also discussed how you could look at their archives. Judy brought some old papers (and new) to show the changes in their set-up. It was very interesting and enjoyed by all. Susan closed the meeting and announced that membership dues are being taken at this time. If you haven't paid your membership, please do so. There were 26 in attendance. March President Susan Sparks welcomed Terri Dye and daughter Megan, Debra Tennison and Mary Boze to the meeting and hoped that they will come back. Teresa Barker, Secretary, read the minutes for the February Meeting. No corrections and minutes were approved as read. Julie Trout, Treasurer, gave that report. There was $992.12 in the regular account. Building fund checking: $1,003.39. Building Fund Endowment: $5,517.18 . Total of both Building Funds: $6,520.57. Total of both accounts: $7,512.69. Julie also reported 154 members with 36 needing to renew by the end of March. Bunny Jones ask that the building committee to come to the front. She thanked them for all of the hard work, getting all of the bids ready to turn in to apply for the Delarue Trust. Susan Sparks read the contract of the Delarue Trust. We will receive $32,044,44 to remodel and make the top floor ADA compliant. We had a hand vote of 25 for this. It was approved. Charlie Gass, building committee, explained the lift for the building and different areas to consider. After discussion we tabled it until next meeting. Rena and Reva gave a book donation of the White Family. Mitchell Book was donated to PCGS. We received 39 books and are selling them for $30.00 or $25.00 if you are a member. Limit of one book per household at member cost. Jennie Springer announced the DAR workshop on March 27, 2003. Their last one was called off because of snow. Susan Sparks, President, turned over the meeting to Speaker Brad Wommack. Brad gave us a history of Monuments, a quiz on facts, how to take a stone rubbing and a slide show on monuments. Brad gave a good overview of his family Wommack Monument business. Susan closed the meeting and invited everyone to have refreshments. There were 33 in attendance. There was $3,657.17 in the regular account. Building Fund: $ 33,056.16; Building Fund Endowment: $5,521.49. Total of both Building Funds: $38,577.65. Total of both accounts: $42,273.88. Membership is 143 members . Joyce Burkhart talked about her new book "Plum Grove Cemetery," which is finished and she donated to PCGS to sell for $35.00. Also the Humansville obit books which Joyce headed up, PCGS has 1998-2001 for sale at $10.00 each. A thank-you to Bob Phillips for the display this month in the showcase. There was a discussion on having a Board of Directors. PCGS Spring Conference will be Saturday, April 5th at 9:00 until 5:00. James Whitman reported on members that have worked in the PCGS Library. He has the total times for each member. Mike Jones gave a report on the lift for the library . There was a vote by the members. 32 voted yes for lift to be on west side of stage. It was approved. At the PCGS library, the Executive Meeting will be held April 22, 2003 at 12:30. All members are welcome to attend. Susan Sparks, President, turned the meeting over to Linda Crawford, Vice President and we had show and tell. Each member brought memorabilia to share with the group. Next month’s meeting will have Gary Ayres speaking on Sons of Confederate Veterans and also the Civil War. Linda closed the meeting. There were 35 in attendance and 2 coming later for show and tell. The June meeting of the Polk County Genealogical Society met for its regular monthly meeting on Thursday, June 5, 2003 at 7:00 p.m. The meeting was opened by President Susan Sparks. President Susan Sparks welcomed new members and visitors to the meeting and hoped that they would come back. Teresa Barker, Secretary, read the minutes for the May meeting. No corrections and minutes were approved as read. Julie Trout, Treasurer, gave that report. There was $5, 967.08 in regular account; petty cash was $73.32; total of $6,040.40. Building expenses for the month were $78.18. Julie reported that we have 154 members. The Kemps donated the money for the grant that we had Debbie Sheals write (for the historic site application). Susan Sparks turned the meeting over to our guest speaker, Linda Myers. She talked about the state archives—what is new and what they have. She gave us some information to take with us. She had very interesting information for our group. The printing for the Rural School Reunion invitations will be done—all but addresses. Susan asked for help. She then closed the meeting. Back to Top There were no guests present. Secretary Teresa Barker was absent so the minutes of the previous meeting were not read. The president stated that Vice President Linda Crawford would take the minutes for the meeting. Treasurer Julie Trout read her report which stated there was $6,408.85 in the regular account and $64 in petty cash. There were sales of $839.50 for sales in June and three days of July. The electric bill was $47. The building account contains $25,667.98. With the interest added the total was $25,701.65. It was announced that Ron and Lou Kemp had paid the rest of Debbie Sheals’ fee. As of meeting time we have 158 members. For the remainder of the year the membership fee would be $5.00. Charlie Gass said the lift would probably be delivered the next week and he could use some help. The T-shirt design samples were passed around for the group to decide on what they wanted. The canvas bags and embroidered caps were also discussed. It was decided to use the Polk County logo and the MO Roots logo on the shirts. It was mentioned that we should donate a door prize to the OGS Conference in September. Linda presented the group a skeletal township, range and section map donated by Dean Polly. He had drawn the map to aid in finding schools, churches and property. There was a discussion on the copy machine. The cost will be $1929. A motion was made, seconded and passed to purchase the machine instead of leasing. An automatic feeder would be leased for the machine. There were 29 in attendance. Back to Top Teresa Barker, Secretary, read the minutes for the June meeting and Linda read minutes from the July meeting. No corrections and minutes were approved. The Treasurer report was $4,023.47 in regular checking; money ready to be deposited was $788.45; $50.10 in petty cash. Total of $4862.02. The building fund was $17,219.49; Endowment fund was $5,533.65. Total of all accounts: $27,615.16. Membership was 161. September 6, 2003 is the All School Reunion and we will have people outside on the square and inside the library. Bookshelves will be for sale. Lou reported that we made our Historical Building status with a great round of applause. We have 1 1/2 shelves of new books. The Polk County History Book information left for the publisher, Bunny reports. The upstairs work is proceeding with the guys working in the extreme heat. Susan informed us about Archives for the County. Lou reported that we will order two designs for tote bags for PCGS. The t-shirts we are not going to do at this time. Linda Crawford gave the program on the meaning of words of time and area, which was enjoyed. Everyone had input and a lot of different expressions were shared. Bunny is having a yard sale for PCGS at her father’s house. It will be on Sept. 4 and 5 and the money will go to the Polk County History Book fund. President Susan Sparks closed the meeting. October Teresa Barker, Secretary, read the minutes for the September meeting. No corrections and minutes were approved as read. The Treasurer Report was Regular Checking $3,352.67; Petty Cash $97.05; Building Fund $15,881.74; Endowment $5,536.00; Total $24,867.46. Membership is 175 as of 10/2 The nominating committee for election for the coming year officers are Secretary Teresa Barker, Lou Kemp and James Whitman. The following names were presented for nomination: Susan Sparks, President President Susan Sparks handed out a proposed bylaw change and asked everyone to take it home and read it. Susan turned the meeting over to the planned program presented by Father Moses Berry on "African-American Heritage of the Ozarks--Remembering our Ancestors." He had old quilts that his great-grandmother and great-great- grandmother made. Also had old pictures of his family and neck chains that were worn by his grandparents. The November Meeting of the Polk County Genealogical Society met for its regular monthly meeting on Thursday, November 6, 2003 at 7:00 p.m. The meeting was opened by President Susan Sparks. Teresa Barker, Secretary, read the minutes for the October meeting. There were no corrections or additions. The minutes stood approved as read. Julie Trout, Treasurer, gave the financial report. Regular Checking $3,555.11 Petty Cash $53.23 Building Fund $15,476.33 Endowment $5,540.62 Total $24,625.29 Membership is 185 as of 11/06/03 President Susan Sparks reviewed policy about not bringing bags into library. Dr. Hall from St. Louis is donating Springfield Newspaper obits and announcements, which he has compiled on microfilm from 1940 to present. Vice President, Linda Crawford, asked everyone to bring an old Christmas ornament and a snack to the December meeting. She also asked to bring something musical as there will be music. Members were asked to bring a picture of Christmas for the show case. Lete Gass asked permission to put up a Christmas tree. The election for the officers of 2004 and the amendment change was held. The results are as follows: President: Susan Sparks Vice President: Linda Crawford Secretary: Patty Warren Treasurer: Julie Trout The amendment change was approved 28 yes and 14 no. The nominating committee for the Board of Directors position of "Director at Large" will present their candidate at the December meeting.
