The Polk County Genealogical Society met Thursday,
February 2, 2006 at the PCGS Library for their regular
monthly meeting. The meeting was called to order by
President Leta Gass at 7:00 p.m. A total of 18 people
attended the meeting. Officers in attendance were
President Leta Gass, Vice-President Patty Warren,
Treasurer Julie Trout, Secretary Joyce Burkhart, and
Director-at-Large James Whitman. Other members present
were: Teresa Barker, Herb and Roseann Boyce, Charles
Gass, Ramona Jones, Roy S. and Deva Kirchner, Carl Locke,
Bob Phillips, Rena Smith, Sylvia Thomas, and Ronnie G.
Yoder. Our only visitor was Connie Dameron. The Polk County Genealogical Society met Thursday, March 2, 2006 at the PCGS Library for their regular monthly meeting. The meeting was called to order by President Leta Gass at 7:00 p.m. A total of 17 people attended the meeting. Officers in attendance were President Leta Gass, Treasurer Julie Trout, Secretary Joyce Burkhart, and Director at Large James Whitman. Vice President Patty Warren was absent. Other members present were Teresa Barker, Herb Boyce, Daisy Fowler, Charles Gass, Ramona Jones, Lou Kemp, Roy S. and Deva Kirchner, Bob Phillips, Susan Sparks, Sylvia Thomas, and Ronnie G. Yoder. Our only visitor was Connie Dameron. The membership received copies of the February 2, 2006 PCGS monthly meeting minutes presented by Secretary Joyce Burkhart. The minutes were approved without being read aloud. Julie Trout gave her treasurers report. The balances for February 28, 2006 were as follows: Checking Account had $3,451.58, Savings Account $8,495.07, Petty Cash $106.56. These totaled to the sum of $12,053.21. The Supplemental Account (History Book money) was listed as $8,759.79. The delivery of 150 History & Families Polk County, Missouri books (second printing) is expected this week per our Turner Representative Shirlee Vos. $2646.00 is still to be paid to Turner upon receipts of the books. February income was reported as $815.37. February expenses were $1105.14. Making a loss of $289.77 for February. January electric bill was $274.64 and the February electric bill was $281.38. There were no questions from the floor regarding her report. Membership is 193 as of March 2, 2006 with 69 people still needing to renew their membership. Any member not having paid their $15 dues by end of March is dropped from the rolls. Julie reminded the membership that they could donate to PCGS under the Community Foundation of the Ozarks Endowment Fund in honor of Dean Rexford Polly (08/01/01/23-01/13/06). Make your checks payable to PCGS at P O BOX 632 Bolivar MO 65613. Many in the community already have donated. James Whitman and Ramona Jones have completed the library inventory. Dr. Wm. K. Hall donated 7 books including A Listing of Some (one volume), 1938 (two volumes), and 2005 (three volumes) Springfield Newspaper Items in book form and a Goodspeed History of Newton, Lawrence, Barry and McDonald Counties in Missouri. Roy Hankey has given us all his research on the Hood Family and will be sending us a book as soon as it is complete. Rena Smiths family donated money to help purchase a new door latch for the downstairs east door which will keep the door from being blown open. Barbara Wilkinson donated several quarterlies from Vermont and New England. Susan Sparks is working on the May dedication to Bertie Williams of a monument donated by Pitts Funeral Home. Bertie was the first person interred at Greenwood Cemetery. Lou Kemp has received from Robert Evans a picture of Berties mother and youngest sister. Plans are already in motion for the October 2006 walking tour of Greenwood Cemetery, which will include the fastest man in Polk County. Leta reports that with the warmer weather we have been very busy the last several days with many out of state visitors. Our friendly all volunteer staff and our library/archive collection have been making a positive impression. Keep up the good work. Our free spring conference entitled Picture Perfect Ancestors will be held Saturday, April 1, 2006. Justin Ballard, photographer for the Bolivar Herald Free Press, is our first speaker beginning at 9:30 at CMH Community Rooms. We need donations of cookies for that day. The March program presented by member Teresa Barker, owner of Teters Florist Inc. It was about the Brethren Church also known as the Dunkard Church, or the German Baptist Church. Teresa had pictures of her Ritter and Miller family who were prominent in the Brethren Church. She has used $100 DNA testing to try and prove relationships on her Ritter side of the family through her uncle. The next regular meeting is scheduled for Thursday, April 6, 2006 at 7:00 p.m. with Kermit Hargis from Polk County Citizens Corps Council as the speaker. April May Leta Gass opened the meeting at 7:00 p.m. by introducing our speaker Matt Forir, the lead geologist and paleontologist and executive director of the Natural History Museum of the Ozarks and Naturalist for the Greene County Parks system. He spoke on the discovery of the River Bluff cave September 11, 2001 in Southwest Greene Co. and the plant and animal fossils found within and about the future plans for the cave. The membership received copies of the March 20 and April 17, 2006 PCGS monthly executive minutes compiled by Secretary Joyce Burkhart. The March 2, 2006 regular monthly minutes were read aloud and approved as read but not distributed as per the March 20 executive meeting minutes. The regular April monthly meeting did not take place due to bad weather. Julie Trout gave her treasurers report. The balances for May 3, 2006 were as follows: Checking Account had $2,038.79, Savings Account $ 8,509.27, Petty Cash $91.67. The Supplemental Account (History Book money) was listed as $5,648.75. These 4 accounts totaled $16,288.48. The Bolivar Association Community Foundation quarterly balances were reported as follows: BACF Endowment fund $5,183.68 and the BACF Capital Building fund $29,752.69. March income was reported as $2,277.56. March expenses were $1,881.62. Making a gain of $395.94 for March. The electric bill for February was $281.38, for March $252.60 and the April electric bill was $192.36. April income was reported as $687.88, April expenses were $1,383.60. Making a loss of $695.72 for April. Membership is 157 as of May 3, 2006. Thirty-three previous members did not renew. There were no questions from the floor regarding her report and was approved as read. A nice article describing PCGS's ever increasing resource holdings was in Friday April 28, 2006 Bolivar Herald-Free Press page 7A. PCGS received Thursday April 27, 2006, with permission from Vesta Seiner, a total of 596 books, which included 349 MO Reports and 231 MO Appeal Reports books along with 16 miscellaneous books from the Polk County courthouse. One nice save was the School District Accounts book, which covers the ten-year school span of 1927-37. Also Marsha Hoffman Rising on April 4, donated 67 reference books on Kentucky and Tennessee she had used in her research for the book Opening the Ozarks, First Families in Southwest Missouri. All these books are on the shelves and ready for use. Leta request volunteers for committee to plan next years spring conference. Julie is stepping down next year as treasurer and would like an assistant to learn the accounts. Susan Sparks reported on the dedication to Bertie Williams of a monument donated by Pitts Funeral Home which is set for Sunday, May 21, 2006 at 2:00 p.m. at gravesite in Greenwood Cemetery. There will be a bagpipes instrumental. Plans are already in motion for the October 6th and 7th 2006 walking tour of Greenwood cemetery, which will have eight stops with more of a guided tour presentation than last year. The 2006 Bolivar Rural School Reunion is scheduled for Saturday September 9th with breakfast at CMH and activities on the square. The OGS conference in Springfield is the same day. June Speaker Diane Warren has rescheduled her program about a Civil War Diary for November as her husband, Rex, had a Doctors appointment. The dedication for Bertie Williams headstone on Sunday, May 21, 2006 was well attended. Channel 27 and 10 had a TV news report, and "Bolivar Herald Free Press" had a follow-up picture. The display case contains greeting cards saved by Edna Mathews from the 40s and 50s. The membership received a copy of the May 15, 2006 PCGS monthly executive minutes compiled by Secretary Joyce Burkhart. The May 4, 2006 regular monthly minutes were read aloud and approved as read. Joyce Burkhart read the treasurers report compiled by Julie Trout. The balances for June 1, 2006 were as follows: Checking Account had $2,265.27, Savings Account $8,509.27, Petty Cash $103.46. The Supplemental Account (History Book money) was listed as $5,648.75. These 4 accounts totaled $16,526.75. May income was reported as $1,555.16. May expenses were $2,243.95. Making a loss of $688.79. The electric bill for April was $192.36 and for May $98.31. The Sales for May were $1,136.50. The three big expenses for May were the front door, furnace and the Plexiglas for upstairs (donation tree). They totaled $1,290.00. Membership is 158 as of June 1, 2006. There were no questions from the floor regarding the report and it was approved as read. Send any suggestions for the 2007 Spring Conference to the attention of committee members Bunny Jones and Patty Warren. The 2006 Bolivar Rural School Reunion is scheduled for Saturday, September 9th with breakfast at CMH and activities on the square. The OGS conference in Springfield is the same day. The program for the OGS Conference was displayed. PCGS will be offering classes in July and August, Monday evenings beginning at 6:30 or 7:00. A list of volunteer opportunities was discussed. Invitations to attend the following reunions were extended: Brooks Reunion at CMH, July 16 at 12:00. The Applebys Reunion is at Woodland Community Building and the Breshears Reunion June 25 is in Halfway. Bob Phillips spoke of July 15, 16 Living History reenactment by Daniel Keith in Bolivar MO. Share time: Teresa displayed a framed hand painted napkin from 1910 with a menu from a dinner given by the Governor of KY saved by her great-grandmother Seals. Neva Gardner displayed 2 metal bracelets and a knife. Bob Phillips gave a summary of Sons of Confederate Veteran activities. Joyce encouraged the use of the MO State death certificate web site. Mr. Kirchner displayed an original 1891 marriage record of Charles Newcomb and Louisa Conway. Also an April 12, 1904 letter from New York which recorded his g-g-grandmother Lucy Rand Newcomb death April 3, 1904. Jessie Wheeler spoke of her great grandmother Mary Phifer-Dixon-Parks owning or working at a millinery in Polk County. Susan Sparks wants stories and pictures related to her murder book. A changed of venue court record had a picture of the accused. She pointed out that $10 million was spent to recreate the technological environment so the tapes for the 1960 census could be read and transferred to current technology. Charles Gass displayed the 17/66 reprint of "Echoes of the Past" an ink by Rose Gass-Norton-Cain of the house Charles father was raised in, located west of Greenfield. Leta Gass displayed her grandmother Mary Campbell Manns gum collection. James Whitman told of a Civil War soldiers actions on the Bolivar square. The meeting was adjourned at 8:30 p.m. Joyce Burkhart, Secretary PCGS July Leta announced new books available for purchase: City of Bolivar Register of City License 1926-1946 $20.00; Polk County Docket 1837-1840 Book 1 $15.00; Polk County Docket 1840-1841 Book 2 $15.00. PCGS will be hosting the Springfield Area Archives Committee on Wednesday, July 19 at 3:30. Susan Sparks will set up a PCGS table Saturday and Sunday July 15-16 at the Old Fashioned Days and Living History at the North Ward Museum 201 West Locust hosted by Daniel Keith. Leta will appoint a nominating committee in August to develop a slate of officers for the coming year "Only those members who are current in their dues and have attended four (4) business meetings (or two (2) business meetings and provided eight (8) hours of scheduled library service between January 1 and Oct 31) are eligible to vote." The first of five weeks of 2006 genealogy classes, free to the public, will be Getting Started to be held Monday, July 17 between 6:30 p.m. and 8:30 p.m. at the PCGS Library. Future topics will include public records, genealogy web sites, land and cemetery records, and using packaged genealogy programs. The membership received a copy of the June 19, 2006 PCGS monthly executive minutes compiled by Secretary Joyce Burkhart. The June 1, 2006 regular monthly minutes were read aloud and approved as read. Leslie and Bob Marsden of the Leslie Cross Stitch & Framing store (218 West Jackson Bolivar MO 65613, 417-326-3003) are celebrating its 20th year in business having begun their business in 1986 on South Main Avenue and moved to 218 West Jackson in 1997. "Framing preserves your past memories and help you create new ones." Emphasis was placed on preservation, that is to use rag mats, Acid Free Foam Core, never use corrugated cardboard as backboard, and do not hang article in direct sunlight. Mount historical documents with Acid Free Corners and cloth items should be sewn down with quality quilting thread. Lou Kemp received from Robert Evans and was presented to Bob Marsden to be custom framed for the PCGS Library, a muslin poster of rules for the Dunnegan Memorial Park, which had been opened to public in 1922. The meeting was adjourned at 8:15 p.m. Joyce Burkhart, Secretary PCGS August Leta reported the new PCGS promotional DVD filmed by Mark Sparks was shown Wednesday, July 19 at the 3:30 meeting of the Springfield Area Archives Committee hosted by PCGS and was well received. PCGS provided a deli tray. The genealogy classes, scheduled Mondays July 17-August 14 2006 are being attended by 20-24 each night. The Polk County Picnic and School Reunion will be held Saturday, Sept. 9th. The Living History Tour at Greenwood Cemetery is scheduled for October 20 and 21. The PCGS Library will be closed September 4 for Labor Day. The membership received a copy of the July 17, 2006 PCGS monthly executive minutes compiled by Secretary Joyce Burkhart. The Bolivar Association Community Foundation quarterly balances were reported as follows: BACF Endowment Fund $5,102.93 and the BACF Capital Building fund $30,054.30 as of June 30, 2006. Membership is 166 as of August 1, 2006. There were no questions from the floor regarding the report and it was approved as read. New business included roof repair. Charles Gass made a motion and Herb Boyce seconded the motion to accept a $22,000.00 roof repair bid from Chuck Parson of Contractors Alliance. 14 South Main, Fort Scott, KS 66701. The bid called for a new modified rubber roof on the PCGS library building with a 10-year warranty with 1/3 of cost down and 2/3 when project is finished. The job to be completed in 2 weeks or less. The particulars included: 1.) Removal of gravel off roof. 2.) Apply Ply IV base sheet with hot tar, 3.) Apply modified rubber with hot tar. 4.) Cover parapet walls with modified rubber and 5.) Fasten terminator bar on walls securing roofing material. The motion passed. Leta appointed Roseann Boyce and Daisy Fowler to a nominating committee to be headed by Julie Trout. All three of PCGS copiers are not working. Parts have been ordered for one. PCGS is making due with a small desktop copier purchased from Wal-Mart. Leta appointed Charles Gass, James Whitman, and Mike Jones to a committee to get bids for a new copier. Bob Phillips will fill the display cabinet; the theme will be old school books. These 4 accounts totaled $16,602.31. August income was reported as $22,858.72. July expenses were $22,515.07. Making a gain of $343.65. The electric bill for July was $215.04 and for August $257.45. Lou Kemp questioned the balance of the BACF Capital Building Fund. The Bolivar Association Community Foundation balances are reported quarterly. The balance should be approximately $8,554.30 after the library roof expenses of $21,500.00. Membership is 168 as of September 5, 2006. The report was approved as read. PCGS has sold all of the History and Families Polk County Missouri books from the first printing. The second printing, 150 books which arrived in March with corrected index, is now on sale. The price increased from $62.50 to $68.00 plus $6.00 for shipping and handling, if required. The cabinet received from the courthouse was given to the historical society/museum, as we had no use for it. The School Reunion is September 9, 2006 beginning with breakfast at CMH from 8-10 a.m. and activities on the square from 9 a.m.-11 p.m. All PCGS books will be offered at a 10% discount on all books for the day. The 2006 school calendars will be reduced to $5 and the 2007 calendars will sell at $8. PCGS will be selling water and soda for $.50. We need help until at least 5 in the evening. Julie and Bunny will be at OGS conference in Springfield representing PCGS. John Hunt and Linda C. Morice, Ph.D., of Illinois are expected to be at PCGS library researching black school history on September 15th. Linda has used one of our rare books to research a paper she submitted to the 6th Annual Country School Conference held in DeKalb, IL, June 20, 2006. Brad Wommack is donating three types of stone on which the students will do rubbings. PCGS will be placing an order for PCGS design polo shirts for $22.00 + $3 per X size. Multiple colors are available. All orders are to be received and paid for by the next regular meeting, October 5, 2006. Check out the updated PCGS web site, obituary chairman, Bunny Jones has recently entered over 5,000 obituaries with the help of James Whitman and Ramona Jones and Roseann Boyce. PCGS has been without a working copier since July 17th. Mike Jones, Charles Gass, and James Whitman were on the copier committee and recommended we take the $3,995 proposal submitted, 08/25/06, by Pearson-Kelly Office Products of 2013 West Woodland, Springfield ,MO 65807. The PCGS promotional DVD filmed and edited by Mark Sparks, July 10th, was shown to the membership with a request to suggest foundations or other organizations that might need to view the DVD donating to the PCGS library. Copies have been mailed to Dr. Hall and given to Mrs. Peterson on her August 29, 2006 visit. Bob Phillips, introduced Dale Galen Goodman and his wife Barbara, members of the Cedar County Historical Society, as our September speakers. Mr Goodman is the author of two books about his life growing up in the 1930s. Membership is 175 as of October 5, 2006. The report was approved as read. There were no other candidates nominated from the floor. Election will be Nov. 2, 2006. Copies of the September 2006 PCGS group picture on the front steps of the PCGS library are available for $2.00 each. PCGS will be placing an order for PCGS design polo shirts for $22.00 + $3 per X size. Multiple colors are available. All orders are to be received and paid for by the end of this October meeting. PCGS will be taking orders for Missouri Courthouses: Building Memories on the Square until the next executive meeting, Oct. 16. The pre-order price is $34.95 + $6.00 shipping and handling from MO Preservation P O Box 1715 Columbia MO 65203. Delivery is January 2007. The new $90 movie screen ordered by Charles Gass was on display at the October 5, 2006 meeting and will be discussed at the next executive meeting. The older Gestetner copier had been taken to the shop to be worked on September 20 was returned October 4, 2006. The bill has not arrived. The Copy Star copier was delivered September 19, 2006 and will be used mainly for the newsletter and publications. Mike Jones reports it is working great. The Barren Creek Cemetery book will be for sale for $20. The new Sunset schoolbook will be sold for $25.00. Susan represented PCGS at the Lions Club Chili Cook Off, at the old airport. Five T-shirts were sold for a total of $75. Questions will be answered at the next executive meeting regarding a fund raising project, "Real" Souvenir Playing Cards. The PCGS library is getting a reputation for its excellent historical research holdings. We are expecting a researcher, writing on the Ft. Scott-Laclede County Railroad, next week. Marsha Rising was in using the law books, October 4. The Living History Tour in Greenwood Cemetery is Friday and Saturday, October 20 and 21. PCGS will fix sack lunches for the presenters on Saturday. It has been advertised in the Rural Missouri farm magazine. And for the third year PCGS will participate in Halloween on the square, October 31.Please make a food, candy or financial donation for these events. Come join the fun. The program speaker was Michael Price of the Library Center in Springfield, 3436 North Fremont, Springfield, MO 65803. He gave an excellent power point presentation on dating old photographs. The membership received a copy of the October 16, 2006 PCGS monthly executive minutes compiled by Secretary Joyce Burkhart. The October 5, 2006 regular monthly minutes were read aloud and approved as read. Julie Trout gave the treasurers report. The balances for November 2, 2006 were as follows: Checking Account $2,503.85, Savings Account $8,551.61, Petty Cash $88.56. The Supplemental Account was listed as $1,652.27. These 4 accounts totaled $12,796.29. The electric bill for September was $215.04 and for November $105.33. The Bolivar Association Community Foundation quarterly balances were reported as follows: BACF Endowment Fund $5,312.67 and the BACF Capital Building fund $8,785.47 as of September 30, 2006. Membership is 177 as of November 1, 2006. The report was approved as read. Julie handed out two revisions to the PCGS by-laws to be voted on in the December 7 meeting. One revision is regarding officer eligibility and the other concerning not accepting write-in candidates on the day of the election. PCGS Library was purchased October 2001, a PCGS pencil was given to each member as a 5-year souvenir. Possible repair of the old Gestetner copier will be discussed in the November executive meeting. The Barren Creek Cemetery book has been returned to the publication committee. Another PCGS shirt order will be placed at the end of November. The program speaker, Diane Warren of 3746 South 170th Road Bolivar MO 65613, read segments of her great-great-grandfather's diary. Samuel Hibbs was a private in Company I of the 8th Regiment of Kansas Volunteers serving as an ambulance driver. His diary was an elegantly written summary of his impressions and visions of civil war battlefields as his regiment crisscrossed the country between June and December 1862. These 4 accounts totaled $15,136.84. This is an increase of $2,340.55 from last month. Last years main checking was $2,790.94 in December 2005. The electric bill for November $105.33 and the electric bill for December was $190.37. Membership is 180 as of December 1, 2006. The report was approved as read. The members present approved the proposed bylaw changes to Article VI. The approved changes were as follows: *Write-in votes will not be counted toward the final tally. * and *Members eligible to serve as an elected official are members in good standing who have met the voting eligibility requirements and have been a member of the Society for at least one year prior to serving in office. * Thanks were given to Charles for clearing the sidewalk of ice and snow. Thanks were given to Mr. Kirchner for providing matching funds to purchase a new smaller Copy Star copier from Pearson-Kelly Office Products for approximately $2557.00 with 2 drawers, bypass, and paper feeder, for downstairs so the larger copier can be put back upstairs to be used for publishing purposes only. Another big thank you to Mr. Kirchner for his recently donated 91 rolls of microfilm for Estate Settlement Files for Probate Court Polk County. Julie has submitted a file of 34 pictures to "Real" Souvenir Playing Cards. PCGS will use previously set aside monies to pay for a Memorial Tree in the Greenwood Cemetery for Susan Sparks.
