January
The regular meeting of the Polk County
Genealogical Society was held Thursday, January 3,
2008 at the PCGS Library on the square in Bolivar, MO.
President Susan Sparks called the
meeting to order at 7:05 p.m. There were 21 members
present. A list of those attending is
attached to the minutes. A copy of the minutes will be in
a binder at the front desk if anyone
needs to look at them at a later date.
Secretary Julie Trout read the minutes of the December
meeting as prepared by outgoing
secretary Joyce Burkhart. With one change, the minutes
were approved as read.
Julie read the January treasurer's report that she
prepared as outgoing treasurer. A copy of
that report is attached. The total amount of the four
main accounts of PCGS totaled
$26,055.91, an increase of $1,383.77 from the December
total. Sales for the month of
December were $2845.
Susan presented prices for plaques listing the leadership
of PCGS since its inception in
1994. The price should be $115 this time and
approximately $3 yearly from now on. The
group approved the plaque as black with gold lettering.
Susan presented options for a sound system for the PCGS
Library with prices prepared by
Mark Sparks. The group decided on a wireless microphone,
speakers in the ceiling instead
of on the wall, and a larger amp. Mark will research the
prices some more and get back to
the group later.
The project of flat folding old circuit court records was
discussed. Circuit Clerk Vesta Seiner
has already given her permission. Susan showed examples
of the process and asked if members
would be interested in taking on this project. Over half
of the members expressed interest in
helping, so it was decided to go ahead with it. A time
for training will be announced later.
Susan recapped last year's survey results with 2 out of 6
items from the "wish list" completed
during 2007. 3 out of 6 physical improvements were
completed during 2007.
Julie presented a change to the standing rules for the
time of the executive business meeting.
The change passed 19 to 0 with 2 abstaining.
Julie read reports prepared by James Whitman: In 2007
there were 338 visitors to the library,
representing 21 states. Volunteers worked 6,701 1/2 hrs.
in 2007. A copy is attached.
Members then broke into three groups to discuss survey
questions on plans for PCGS in 2008.
Members also filled out personal surveys. Both sets of
surveys are kept in a file at the main desk.
Previous years' surveys are also on file. A copy of each
questionnaire is attached to the minutes.
The next executive business meeting will be held Tuesday,
January 29 at 6 p.m. The next regular
meeting will be held Thursday, February 7 at 7 p.m.

February
The regular
meeting of the Polk County Genealogical Society was held
Thursday, February 7, 2008
at the PCGS Library on the square in Bolivar, MO.
President Susan Sparks called the meeting to order
at 7:05 p.m. There were 29 present, 26 members and 3
visitors. A list of those attending is attached
to the minutes.
Secretary
Julie Trout read the minutes of the January meeting. They
were approved as read.
Treasurer
Leta Gass read the treasurer’s report. A copy of
that report is attached. The total amount of
the four main accounts of PCGS totaled $25,854.75, an
decrease of $201.16 from the January total.
The group
voted on where to hang the leadership plaques. 9 people
voted for hanging it by the obit file;
13 voted for by the front door over the fire
extinguisher. It will be hung by the door.
The PCGS
annual conference will be held on Saturday, April 12 from
9 a.m. to 3 p.m. at CMH. The
group voted to serve food, such as
cheese/crackers/cookies at the conference. The group will
provide
the refreshments.
The PCGS
Picnic will be Saturday, June 21 at the Pavilion #1 at
Dunnegan Park. The group voted to
purchase the meat, buns, and paper goods. Members will
bring side dishes, desserts and/or drinks. The
regular June meeting on the 5th will be a research night
at the library.
The showcase
will feature "Sweetheart" pictures. It will
stay this way until the end of March.
The first
training for the circuit court records project will be
February 23 at 9 a.m. Linda Myers is in
charge of the training. Kimberly Flick is in charge of
the project. Other training dates will be announced
later. Attending a training session is necessary to work
on the project.
Vice
President Teresa Barker reported on a scrapbooking night.
It will be at night time but not on a
meeting night. Christie Johnson is planning on attending
the May meeting with a supply list and times
for the night scrapbooking work times. More information
will be available then.
Member Herb
Boyce began his program "Unearthing Hidden
Treasures" at 7:30 p.m. He spoke about
metal detecting and showed some of the items he has
found.
The next
executive business meeting will be held Monday, February
29 at 5 p.m.
The next
regular meeting will be held Thursday, March 6 at 7 p.m.
The program will be presented
by Jean Vincent entitled "Hidden Treasures in the
National Archives."

March
The regular
meeting of the Polk County Genealogical Society was held
Thursday, March 6, 2008 at
the PCGS Library on the square in Bolivar, MO. President
Susan Sparks called the meeting to order at
7:10 p.m. There were 21 present, 20 members and 1
visitor. A list of those attending is attached to the
minutes.
Visitor Dan
Meadows spoke for a few minutes about a paper he is
working on. He is interviewing people
65 years old and older regarding coping skills,
especially using faith-based methods. He passed around a
sheet for volunteers.
Secretary
Julie Trout read the minutes of the February meeting.
They were approved as read.
Treasurer
Leta Gass read the treasurer’s report. A copy of
that report is attached. The total amount of the
four main accounts of PCGS totaled $26,280.07, an
increase of $425.32 from the February total. One
item of note: the $500 electric bill. Susan explained
that even though we had a higher bill this month, we
actually used less kilowatt hours this year than last
year.
Susan talked
about the PCGS website and the updates Julie is working
on about the finding aids, obits, and
other resources. People should be able to search the
finding aids by the end of March.
Susan
discussed the Missouri State Penitentiary microfilm that
she purchased for her research. She is loaning
the microfilm to PCGS and it will be stored here at the
library.
PCGS bought
a VHS tape of President Harry Truman’s visit to
Bolivar in 1948. We will watch the video
at a future meeting.
The circuit
court project is continuing. If a member wants to help
but hasn’t been to any training sessions,
he or she can still come and get one-on-one training. The
next work time is scheduled for Saturday, March 8.
Leta and Janice Mitchell presented examples of the types
of records the group is working on and what the
project entails.
Vice
President Teresa Barker introduced Jean Vincent, our
speaker for the night. Jean spoke of her time in
Bolivar and then her time living in Greenbelt, MD. While
living in Maryland, she volunteered at the National
Archives for five years. She gave the history of the
National Archives and showed pictures from the files at
the Archives. She took questions from the audience at
8:10 p.m.
The next
executive business meeting will be held Monday, March 24
at 5 p.m.
The next
regular meeting will be held Thursday, April 3 at 7 p.m.
The program will be presented by Sandra
Brown entitled "How to Care for and Preserve your
Documents."

The regular meeting of the
Polk County Genealogical Society was held Thursday, April
3, 2008 at the PCGS
Library on the square in Bolivar, MO. President Susan
Sparks called the meeting to order at 7:10 p.m. There
were
25 present, 24 members and 1 visitor, our speaker, Sandra
Brown. A list of those attending is attached to the
minutes.
Susan showed
off the new sound system and microphone.
Secretary
Julie Trout read the minutes of the March meeting. They
were approved as read.
Treasurer
Leta Gass read the treasurer’s report. A copy of
that report is attached. The total amount of the four
main
accounts of PCGS totaled $25,280.15, an decrease of
$999.93 from the March total. Membership is 166 as of
April 3; 38 people did not renew for 2008.
Kimberly
Flick reported on a court case the members have found
during the circuit court records project. Susan
again invited everyone to help with the court records.
The group
was served pizza from Fair Play Pizza, (from the owners),
as a thank-you for us helping them with
finding some old pictures to decorate the walls of their
restaurant.
April 12 is
the conference at CMH Community Rooms. All members are
invited to attend. Volunteers are need
to help set up at the conference. Registration begins at
9 a.m.
The third
deck of cards is almost finished. Five high-dollar cards
remain plus three $60 cards. PCGS members have
first shot at purchasing these cards.
At 7:35
p.m., Vice President Teresa Barker introduced Sandra
Brown from Southwest Baptist University. Sandra is
the University Archivist and Reference Services
Librarian. Her program was "How to Care for and
Preserve your
Historical Documents." She shared a handout with the
members and had examples on display of ways to preserve
documents.
The next
executive business meeting will be held April 21 at 5
p.m.
The next
regular meeting will be held Thursday, May 1 at 7 p.m.
The program will be presented by multiple
speakers. A video will also be presented.

The regular meeting
of the Polk County Genealogical Society was held
Thursday, May 1, 2008 at the PCGS
Library on the square in Bolivar, MO. President Susan
Sparks called the meeting to order at 7:05 p.m. There
were 30 present, 27 members and 3 visitors. A list of
those attending is attached to the minutes.
Secretary
Julie Trout read the minutes of the April meeting. With
one correction, they were approved as read.
Treasurer
Leta Gass read the treasurer’s report. A copy of
that report is attached. The total amount of the four
main accounts of PCGS totaled $22,475.72, an decrease of
$2,804.43 from the April total. $4010 was spent
on third card deck. Membership is 179 as of May 1.
Susan talked
about the third card deck and asked for members to help
sponsor the remaining cards. PCGS will
be paying for those cards if no sponsors can be found.
Susan talked
about the bricks we have from the renovation. It was
decided to store 100 of them for a fundraiser
in 2014 for the 100 year anniversary of the building.
"100 bricks for 100 years" was a possible
theme. 24 people
voted to save the bricks; 6 abstained. The remaining
bricks will be used for other things. Susan and others
will
begin working on the project.
The program
for the meeting was a mixed presentation by multiple
speakers. First up was Sue Brown, who talked
about some of the court cases she has been working on,
specifically divorce and selling liquor without a
license.
Susan was
next and presented a summary on a court case about the
Bayless family.
Teresa
Barker introduced Christie Johnson, who gave a very short
presentation on scrapbooking. She has set up
the dates of July 7-July 11 (Mon. - Fri.) to have a
scrapbooking workshop here at the library. The time is
5:30. A
sign up sheet will be made and put on the bulletin board.
This is for members only or members and their families.
It is not for the public.
Next, Herb
Boyce talked about a heart shaped rock, engraved with a
poem that was found in a mine at the Kansas
State Prison in Lansing, Kansas. Susan and Herb took on
the task of finding out about the prisoner who carved the
poem on the rock.
Finally, a
video of President Harry S Truman’s visit to Bolivar
in 1948 was presented. It was in black and white
with no sound. Several members made comments on the video
as it played since they attended the parade.
The next
executive business meeting will be held May 27 at 5 p.m.
The next
regular meeting will be held Thursday, June 5 at 7 p.m.
Their will be no program; it will be a research
night for the group. The picnic will be Saturday, June 21
at the park.

The regular meeting of the
Polk County Genealogical Society was held Thursday, June
5, 2008 at the PCGS
Library on the square in Bolivar, MO. President Susan
Sparks called the meeting to order at 7:10 p.m. There
were 21 present, 20 members and 1 visitor. A list of

main accounts of PCGS totaled $22,884.14, an increase of
$408.42 from the May total. We now have
international membership as we have a member in London,
England.
Kimberly
Flick discussed some court cases she found interesting.
Susan talked
about the third card deck. The proofs for the deck were
passed around. We will be receiving 2000
postcards, 1000 of each design. One design will be our
building; the other design will say "Greetings from
Polk
County, Missouri" modeled after the old 1940s
postcards. The card back will be similar to the second
postcard.
There were a
bunch of bees under the pallet of bricks outside. Dale
Newcomb came and removed the bees for us.
There are
boxes of books on the counter. These are duplicates, so
members are invited to take what they want
and please leave a donation for them. Any remaining books
will be donated to other societies.
The
microfilm reader died; we are borrowing one from the
Recorder’s Office for 45 days. The borrowed one is
set up in the corner by the public use computer.
Susan asked
for help in indexing the 1881 map; proofreading help is
also needed.
Susan asked
for someone to volunteer to keep the Family History
section of the library shelves in order.
Susan
reminded everyone of the picnic on June 21. She asked for
a show of hands of those who would be
attending the picnic. Everyone is asked to bring a side
dish or dessert or drinks. PCGS will provide the
hamburgers, hot dogs, buns and tableware.
PCGS
received the Jonas Viles award from the Friends of the
Missouri State Archives. Susan and Leta will
attend the banquet in Columbia, MO on June 14 to receive
the award.
The business
part of the meeting concluded and everyone discussed
their "brick walls" (research problems) at
each table. Then everyone had time to research using the
library’s materials.

The regular meeting of the
Polk County Genealogical Society was held Thursday, July
3, 2008 at the PCGS

demonstrated the new microphone for the group.
Treasurer

approved as read.
Leta read
the treasurer’s report. A copy of that report is
attached. The total amount of the four main accounts of
PCGS totaled $22,449.21, a decrease of $434.93 from the
June report total. However, the month of June itself
showed a $105.28 increase. Membership is 193 as of July
1.
The Jonas
Viles award was passed around for everyone to see. PCGS
received the award on June 14. Susan talked
about the possibility of taking a field trip in the fall
to the State Archives.
The date for
the Living History Tour has been set. October 3 and 4
(3rd for schools; 4th for public). Jean Vincent
will be presenting Andrew Whaley; other subjects will be
A. H. Lewis, presenter to be announced, and the Ables
family, presented by Sharon Garretson. We possibly will
be doing William Cox--the society is working on a
compilation of his poetry.
Susan said
that the card deck has been sent to China for printing.
We will let everyone know when they arrive.
The indexing
of the big 1881 map has been worked on. Thanks to Jack,
Karl, Leta and Susan for helping. There
are two schools unidentified which don’t show up on
any other maps.
The
scrapbooking classes have been cancelled--we might try
them again on a Saturday later on.
The business
part of the meeting concluded and the program began. It
was a member share time. A summary of
the items shared is attached to the minutes if anyone
would like to read it.

The regular
meeting of the Polk County Genealogical Society was held

the treasurer’s report. A copy of that report is
attached. The total amount of the four main accounts of
PCGS totaled $17, 824.61, a decrease of $4, 624.60 from
the July report total but $3,250 is the grant amount (for
which we will be receiving checks), so the actual
decrease is $1,374.60. There were no questions concerning
the
treasurer’s report.
The new
microfilm reader has arrived. Susan discussed the reader
and its different features, including the different-sized
lenses. Roy Kirchner has graciously agreed to fund the
purchase of another lens for the reader, so a big thank
you to
Roy and Deva for their generosity!
Susan
mentioned that she will be appointing a nominating
committee at the next executive meeting, which will be
held August
25. She asked for any volunteers to sit on
the committee to please contact her later.
Visitors
from the Missouri State Archives will be touring the
library on Friday, August 8. John Dougan, the State
Archivist and John Korasick will be here. They were part
of the group that awarded PCGS the Jonas Viles award.
The Rural
School Reunion will be Saturday, September 6.
The two
schools unidentified on the 1881 map were discussed
again. One of them may possibly have been called
Price School at Pleasant Hope.
The business
portion of the meeting ended at 7:20 p.m. Linda Crawford,
longtime PCGS member and former board
member, presented a program on "Old Documents."
She showed some of her treasures from her collection.

The regular
meeting of the Polk County Genealogical Society was held
Thursday, September 4, 2008 at the PCGS
Library on the square in Bolivar, MO. President Susan
Sparks called the meeting to order at 7:03 p.m. There
were 25
present, 3 visitors and 22 members. A list of those
attending is attached to the minutes.
Julie Trout
read the minutes of the August meeting. They were
approved as read. Leta Gass read the treasurer’s
report.
A copy of that report is attached. The total amount of
the four main accounts of PCGS totaled $19,363.63, an
increase
of $1,539.02 from last month’s report total.
Membership is 199 as of September 1.
One box
containing 144 decks of the new card deck has arrived.
The rest will arrive soon. A sample was passed around
for all to see. The cost of the new deck is $10. The book
for the 1881 map is finished. The price is $25. The book
is
indexed and each page contains a section of the map.
Later we will offer two different sized replicas of the
map for sale:
a black and white map (3 ft x 3 ft) and a full size full
color map.
The school
reunion will be held this weekend. Susan asked for help
with tent setup and booth work. Leta will be at the
breakfast from 8 - 10 a.m. The booth on the square opens
at 9 a.m. Halloween is October 31-- please bring a bag of
candy to the library for trick-or-treaters. We will
decorate the library that day and give out candy that
night between 5
and 8 p.m. Members are welcome to come in costume to help
(non-scary costumes only, please!).
The Living
History Tour will be held October 3 and 4 at Greenwood
Cemetery. Names being presented are the Ables
family, the Whaley family, W. J. Cox, William White and
A. H. Lewis. Susan asked for volunteers to be tour
guides;
the presenters have been arranged already. Members can
also help run the table at the front entrance and help
make sandwiches.
We will take
a group picture before the October meeting. Please come
by 6:45 for the picture.
Susan called
attention to the Family History section of our
library’s shelves. New boxes were purchase and a new
system is in place in that section to keep the shelves
neat and tidy. We will use cards to retrieve the correct
book from
the correct box. We need help to make the index.
The 2009
PCGS conference will be held Saturday, April 11 at 9 a.m.
at the CMH Senior Center. The nominating
committee will consist of James Whitman, Sue Brown and
Bob Phillips.
Charlie Gass
presented some trivia on the library building from a 1915
mechanics lien found in the circuit court
records. The information will also be included in the
next newsletter.
The business
portion of the meeting concluded at 7:35 p.m. and Teresa
Barker introduced our speaker for the evening,
Carolyn
Mustain Mott. She was dressed in character as her 4th
great grandmother Matilda Golden Polk Campbell
Jenkins. She spoke of coming to Missouri and how her sons
helped to settle the Polk and Greene County areas.

The regular meeting
of the Polk County Genealogical Society was held
Thursday, October 2, 2008 at the PCGS
Library on the square in Bolivar, MO. President Susan
Sparks called the meeting to order at 7:00 p.m. There
were
29 members present. A list of those attending is attached
to the minutes. A picture of the group was taken before
the meeting started.
Julie Trout
read the minutes of the September meeting. With a couple
of corrections, they were approved.
Leta Gass
read the treasurer’s report. A copy of that report
is attached. The total amount of the four main accounts
of PCGS totaled $20,695.96, an increase of $1,332.33 from
last month’s report total. Membership is 202 as of
October 1.
The price of
the black and white 1881 map, size 3’ by 3’, is
$15. If the map and the 1881 plat book are purchased
together, the cost is $35 (that is a savings of $5 from
buying the two separately at $15 and $25 respectively.)
The
price for a full-color, full-size replica of the map will
be determined later. We do not have any full size maps in
stock--they have to be special ordered.
Sue Brown
was originally on the nominating committee but then was
taken off so as not to have a conflict of interest
after it was decided to ask Ray Brown, her husband, to
serve as an officer. Bob Phillips and James Whitman
continued
the duties of the committee.
James read
the list of nominees for 2009 officers: Susan Sparks for
President; Teresa Barker for Vice President;
Julie Trout for Secretary; Leta Gass for Treasurer; and
Ray Brown for Director at Large. Susan then asked for
nominations from the floor for each office and none were
submitted. Nominations were then closed.
The Living
History Tour will be held tomorrow and Saturday (Oct. 3
and 4) at Greenwood Cemetery. The times on
Friday are 9 a.m. to 2:30 and on Saturday, from 10 a.m.
to 3 p.m. Members were invited to come and help set up
and take the tour.
Bunny Jones
gave a report on the 2009 conference. It will be held on
April 11, 2009 at the Senior Center on West
Broadway. The speakers are arranged--there will be a
speaker on Indian research, one on GenSmarts and one from
the State Historical Society.
The business
portion of the meeting concluded at 7:15 p.m. and Susan
Sparks presented the program on the time
capsule that was removed from the Polk County Courthouse
cornerstone in 2007. She discussed the contents of
the capsule and their significance.
The next
executive meeting will be held Monday, October 27 at 5
p.m.
The next
regular meeting will be held Thursday, November 6 at 7
p.m. Elections for 2009 officers will be held at
that time. Christine Thiessen will then present the
program about the DAR.

The regular
meeting of the Polk County Genealogical Society was held
Thursday, November 6, 2008 at the PCGS

Sparks called the meeting to order at 7:05 p.m. There

total. Membership is 208 as of November 1.

Whitman and Ben Gravely counted the ballots for the 2009
officer election.

a majority vote.

The January
2009 meeting of the PCGS has been moved to the second
Thursday of January (January 8) since the first

is New Years’ Day. This meeting will be a planning
meeting with survey questions to ask the members what
PCGS has done well in 2008 and what we can try to
accomplish in 2009. There will also be a short business
meeting.
The showcase
theme for the next two months is Christmas memorabilia.
Everyone is invited to bring something
Christmasy. We would especially like cookie cutters.

Barker introduced our speaker for the
evening, Christine Thiessen. Christine, a longtime member
of PCGS and former officer of both PCGS and the local
DAR chapter, spoke on DAR (Daughters of the American
Revolution) and Colonial Dames. Part of her presentation
was a 15 minute video about DAR.
The next
executive meeting will be held Monday, November 24 at 5
p.m.
The next
regular meeting will be held Thursday, December 4 at 7
p.m. It will be our annual Christmas fellowship.

The regular meeting
of the Polk County Genealogical Society was held
Thursday, December 4, 2008 at the PCGS
Library on the square in Bolivar, MO. President Susan
Sparks called the meeting to order at 7:07 p.m. There
were
20 present, 19 members and 1 visitor. A list of those
attending is attached to the minutes.

amount of the four main accounts of PCGS totaled
$20,092.16,
an increase of $624.97 from last month’s report
total.
Membership
is 209 as of December 1.
The last
reports for the PCGS funds with the Bolivar Area
Community Foundation were dated September 30. The
Endowment fund total is $22,189.25 and the Capacity
Building fund total is $4,690.09. PCGS received a check
for
$399 of interest for the endowment fund.
Saturday,
December 6 is the Victorian Christmas on the square in
Bolivar. PCGS will be having a special one day
only sale that day. The history book will sell for $55
and the set of three card decks for $25; all other items
10% off.
PCGS will have special hours--9 a.m. to 5 p.m.
The two bids
for the repair of the outside stairs were discussed and
passed around so all could see them. Mid-State
Restoration has a base bid of $17,490.00 and an
additional bid for the door trim for $4,690.00. Bob Polly
Construction has a bid of $24,260.00.
Fundraising
for the stairs project is underway.
The group
then took a break to get some goodies and then Susan
shared a court case found in the circuit court records
that was very interesting.
Group
members then shared Christmas memories and stories.
The January
2009 meeting of the PCGS has been moved to the second
Thursday of January (January 8) since the first
Thursday
is New Years’ Day.
The next
executive meeting will be held Monday, December 29 at 12
p.m.
The meeting
adjourned at 8:55 p.m.
